Cortica is looking for a Scheduling Care Coordinator (Remote) to join our growing multi-disciplinary team. In this role, you will work collaboratively with teammates to create optimal schedule plans and care coordination based on recommendations for Cortica clients under thedirection of the Scheduling Care Supervisor and Regional Scheduling Manager. This role will allow you to utilize critical thinking and organizational skills to plan, build and execute comprehensive care. - Work collaboratively with a Scheduling Care Supervisor and Regional Scheduling Manager to understand the scheduling guidelines and implement processes them in order achieve optimal scheduling plans for Cortica clients
- Create optimal schedule plans and care coordination based on received clinical recommendations
- Identify and correct problems relating to scheduling fills, cancelations, scheduling conflicts, and EMR errors/fixes with guidance from Scheduling Care Supervisor and Regional Scheduling Manager
- Manage appointment cancellations and arrange for substitute coverage and/or make up sessions according to the Scheduling Equity Guidelines
- Provide patient and therapist scheduling updates utilizing email or instant communication
- Collaborate with teammates and communicating properly within the scheduling team to create optimum treatment plans for Cortica clients
- Take initiative to identify client demands, scheduling roadblocks and communicating the findings to through the existing line of communication and authority
- Process therapist availability and PTO changes after supervisor approval through Scheduling Helpdesk
- Place pre-authorizations and submitting patient benefits cases for all services when needed
- Handle a heavy volume of calls, emails, portal messages while managing helpdesk tickets assigned internally
- Practice knowledge of HIPAA policies and guidelines while communicating client matters
- Set priorities, manage time effectively and meet deadlines assigned by the Scheduling Care Supervisor or Regional Scheduling Manager
- Assist with special projects and administrative tasks assigned by the Lead Scheduling Care Coordinator or Regional Scheduling Manager
- Maintain flexibility in schedule and work hours to meet Centralized Scheduling Department need such as covering evening shifts and weekends when needed
- Other duties may be assigned to meet business needs

- You have a bachelor's degree (preferred).
- You have 2 years' scheduling experience in an office setting (preferred).
- You have knowledge of Microsoft Word, Excel, and Internet Applications, and knowledge of administrative and clerical procedures and systems such as word processing, managing files and records, designing forms, and other office procedures and terminology.
- You have knowledge of the structure and content of the English language including the meaning and spelling of words, rules of composition, and grammar.
- You have knowledge of principles and processes for providing customer and personal services including customer needs assessment, meeting quality standards for services, and evaluation of customer satisfaction.
- You have knowledge of HIPAA regulations to safeguard patient information.
- You are occasionally required to stand, walk, sit, climb, balance, kneel, crouch, or crawl; reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions.
- You can occasionally lift and/or move up to 40 pounds.
