We work in a paperless environment, which uses minimal physical paper and instead uses primarily digital documents.Position Overview: We are seeking a detail-oriented and organized Scheduling Clerk to join our team. The Scheduling Clerk will be responsible for managing the scheduling and coordination of depositions, medical appointments, interpreters, court reporters, and other activities for our legal team. The ideal candidate will possess excellent communication skills, strong attention to detail, and the ability to multitask effectively in a fast-paced environment.Responsibilities: Manage the attorney's and firm's master calendar and scheduling system to ensure accurate and efficient coordination of depositions, medical appointments, interpreters, court reporters, and other activities. Schedule depositions, medical appointments, and other legal proceedings, taking into account attorney availability and client preferences. Communicate with clients, attorneys, and others to confirm appointments, reschedule as necessary, and provide updates on scheduling changes. Prepare appointment notices and documents of the appointments to clients, claimants, attorneys and staff, ensuring everyone is informed of their upcoming commitments. Monitor attorney's calendars to proactively identify scheduling conflicts and address potential issues in a timely manner. Maintain accurate records of appointments and other scheduled activities in the firm's case management system. Assist with other administrative tasks and projects as needed to support the efficient operation of the law office.Qualifications: High school diploma or equivalent required; additional education or training in office administration or related field preferred. Prior experience in a scheduling or administrative role, preferably in a legal setting, is highly desirable. Proficiency in calendar management software and Microsoft Office suite (Word, Excel, Outlook) as well as Adobe. Strong organizational skills with the ability to prioritize tasks and manage time effectively. Excellent communication skills, both verbal and written, with a professional and courteous demeanor. Ability to maintain confidentiality and exercise discretion when handling sensitive information. Detail-oriented with a high level of accuracy in data entry and record-keeping.
