We are hiring a Scheduling Coordinator at NW Dermatology Institute in NW Portland (2525 NW Lovejoy, with access to a private parking garage).Please Note: This is not an entry level role and this is primarily a clerical position. Applicants should be comfortable with high call volumes and administrative responsibilities in a medical setting.Key Details:
  • Schedule: Monday-Friday, 8:00 AM-5:00 PM.
  • Benefits Health insurance ($10 or $50 per paycheck), Vision & Dental insurance, PTO and holidays, FSA, 401k with 4% match, Employee Assistance Plan for employees and their family, Cosmetic benefits at cost, and Opportunities for personal growth.
  • Pay: $21-$22 per hour (based on experience).
  • 1-2 years: $21/hour.
  • 2-3 years: $22/hour.

Our Scheduling Coordinators are the first and last impressions for patients on the phone, providing an excellent opportunity to make a positive impact. This role requires someone highly skilled in clerical tasks, with exceptional attention to detail and the ability to thrive in a busy medical office environment.Key Responsibilities Include:
  • High call volume: Answering 45-50 calls per day once training is complete.
  • Heavy phone scheduling for appointments and assisting patients at the front desk as needed.
  • Using a multi-line phone system to handle incoming calls and taking accurate, properly transcribed messages for medical staff.
  • Responding to patient text messages and correspondence.
  • Verifying eligibility of benefits for patients as needed.
  • Assisting patients with navigating the patient portal and completing paperwork.
  • Supporting patients with questions and addressing their needs while waiting for appointments.
  • Cross-training for check-in/out positions.
  • Handling additional clerical duties as assigned.
Qualifications:
  • High school diploma required.
  • At least 2 years of experience in a medical office setting.
  • At least 1 year of experience using multi-line phone systems.
  • Exceptional spelling, transcription, and dictation skills.
  • Strong customer service and communication skills.
  • Experience handling financial conversations empathetically and professionally.
  • Proficiency with Microsoft Office, scheduling systems, and EMR systems (e.g., NexTech).
  • Ability to thrive in a fast-paced environment, meet deadlines, and adapt to change.
  • Compliance with all required Oregon healthcare immunizations or appropriate exemptions.
  • Participation in reference checks and a pre-employment background check.
•Preferred Skills:
  • Experience with medical insurance billing (ICD-10, referrals, prior authorizations, etc.).
  • Medical and cosmetic dermatology office experience.
