Job Description SummaryUnder limited supervision, the Scheduling Coordinator provides customer service support for room scheduling and event coordination for the Perelman School of Medicine complex. Working closely with the Associate Director, Events, Scheduling and Event Services ( SES ), the Scheduling Coordinator proactively communicates with customers to determine appropriate resource and support service assignments; produces, proofreads, and distributes event confirmations and correspondence verifying accurate and complete information upon request; directing requests to appropriate staff or departments; and problem-solving where appropriate. Conducts daily operations meetings, ensuring all correct resources are scheduled for each support group. The Scheduling Coordinator responds to new and revised requests for space in the PSOM Scheduling System, providing input to the Associate Director, Events, and the Associate Director of SES Operations, for process automation or other technical improvements. Attends walk-throughs with customers to familiarize them with Space Planning & Operations ( SPO ) shared meeting spaces and explains all associated services and applicable policies provided with each space. With the SES, Assoc Director Events, the Scheduling Coordinator develops, coordinates, and determines needs for event support staff and assigns daily and weekly support schedules. Under limited supervision, the Scheduling Coordinator will assist with the Queue Release project each semester, assigning staff and resources for classes and assigning space for queued events. Receives and responds to emails and phone calls, prepares, and forwards event confirmations and other correspondence. The Scheduling Coordinator performs other duties as assigned. This position is considered essential.

As such, and to ensure successful fulfillment of its mission (research and education), the School Community requires a much higher level of support service delivery than usually experienced in a typical academic environment. Problems that would be mere annoyances in some facilities have the potential of destroying thousands of dollars and months or years of often-irreplaceable work.
