This job opportunity is for services to be performed under a contract with the federal government Office of Refugee Resettlement.The Scheduling Supervisor will oversee scheduling operations across multiple care service departments to ensure the scheduling team maintains efficient staffing levels, which involves strategic planning, attendance management, and proactive forecasting.Essential Functions:Scheduling Operations:
  • Manage the schedules of team associates of care service departments to ensure operational efficiency
  • Allocate resources effectively, considering workload distribution and employee preferences
  • Review and adjust schedules to meet changing demands and maintain required coverage
Attendance Management:
  • Monitor attendance records, handle time-off requests, and enforce policies to maintain coverage and compliance
  • Ensure accurate records and adherence to company attendance protocols
  • Address attendance-related issues and implement corrective measures as needed
Planning and Forecasting:
  • Develop scheduling plans aligned with operational goals and regulatory requirements
  • Analyze data to forecast staffing needs accurately and proactively plan for fluctuations
  • Provide detailed reports on staffing forecasts and trends for informed decision-making to the leadership group
Reporting and Communication:
  • Collaborate with People Operations, HRIS, and Vetting Department to provide site leadership with staffing numbers
  • Compile and present accurate data to leadership and government entities, ensuring transparency
  • Communicate effectively with various departments to align scheduling strategies with operational objectives
Performance Management and Process Improvement:
  • Enforce Scheduling Team is efficient as well policies and procedures while continuously seeking enhancements
  • Work closely with HRIS to address scheduling-related issues and streamline the workforce
  • Complete tasks and processes assigned by the Emergency Operations Center (EOC) Manager
Additional Duties:In addition to the essential responsibilities, your role involves:
  • Supervise a team in a collaborative environment, and resolve escalated scheduling issues
  • Conduct training sessions and implement best practices for optimized scheduling efficiency
  • Adapt to scheduling demands and drive solutions for improved scheduling processes
  • Other duties as assigned
Knowledge and Skills:
  • Proficient in Microsoft Office Suite or related software, especially proficiency with Excel
  • Ability to work with formulas, tables, pivot tables, and other CRMs
  • Ability to document, input data, and perform forecasting analysis
  • Ability to communicate effectively
  • Must possess strong presentation skills
  • Ability to understand and carry out directions
  • Ability to meet deadlines
  • Ability to work flexible hours in a 24/7/365 business environment
Education and Experience:
  • High school diploma or equivalent
  • Experience working with multicultural staff
  • Experience in scheduling and operations
  • 1 year of supervisory or managerial experience, preferred
  • Clerical or administrative experience is a plus
  • Must be able to type 40 WPM
  • Bilingual in English and Spanish, preferred
  • Must be authorized to work in the U.S.
  • Must be able to travel within the Continental United States (CONUS)
  • Must pass a motor vehicle record check and employer and government (eQIP or eAPP) background checks after accepting a conditional offer of employment
