Lawrence Family Development Charter School www.lfdcs.org Strengthening families...building community This position assists in the Office of the Superintendent and works with Senior School Leadership members by managing all key school records for data reporting to the MA Dept. of Elementary and Secondary Education related to student and school staff records including, but not limited to, SIMS, EPIMS, SCS, and SSDR. The role includes leadership of the school's student information systems and collection of student data, manages the school's electronic grading system, transcripts and report card templates. The Data Operations Manager collects data and files annual EEO (Civil Rights) reports. As needed, the Manager supports the Digital Instructor who sets up online enrollment of students into software subscriptions which support instruction. The Manager prepares for MCAS with the needed data and materials orders; monitors the accuracy of enrollment into MCAS testing sections and assures the accuracy and accommodations for MCAS testing sections; and handles contractual software subscriptions of the Charter School. RESPONSIBILITIES:
- Data Collection
- Maintain the School's electronic data collection system for compliance in reporting to the Dept. of Elementary and Secondary Education (SIMS, SCS, EPIMS, SSDR and other data collections as required throughout the year).
- State and Federal Report Documentation
- Ensure that processes, procedures and data systems are in place to collect, collate and report on all student and staff statistical information as required by state and federal statutes. Reports include, but are not limited to, civil rights data collection, student enrollment, attendance, exclusion, promotion, staff certification, turnover, federal child count, free and reduced lunch, and as needed, attendance reports for certain federally-funded programs. Collaborate with stakeholders and data owners to ensure information is correct and resolve errors as needed.
- Maintain the district's DESE Directory Administration. Update name changes, permissions, other staff and student information as needed.
- Internal School Records and Data Management
- Administer the school's student information system and its applications. Create staff accounts in SIS and assign appropriate permissions. Orient new staff with using the SIS. Escalate and contact SIS support and vendors as needed to resolve issues or improve data utilization.
- Ensure that processes, procedures and storage are in place to collect internal information required by school policies including student sign-out of student records including security, confidentiality and transmittal of transcripts to other school systems.
- Responsible for the school's student information systems, manages the school's electronic grading system and assisting teachers with producing timely and accurate report cards. Maintain and update templates and object reports as necessary.
- Conduct SIS annual updates, such as school year rollovers, calendars, years, terms, and other school and district setups. Adjust reports and data feeds as needed to update the next school year.
- Support the Digital Instructor with set-up of online enrollment of students into software subscriptions which supports instruction. Support IT department as necessary with server integration of data systems.
- Oversee enrollment and assignment of student accommodations for MCAS testing.
- Work with the Parent Liaison and Student Services Coordinator to carry out procedures according to school and state policies for school lottery, admission, enrollment and ensure lines of communication in integrating the waitlist to student data.
- Support the Parent Liaison and Students Services Coordinator with managing online lottery and enrollment processes.
EXPERIENCE/QUALIFICATIONS:
- Associate's Degree in Office Technology, Database Administration, or equivalent; bachelor's degree preferred
- Strong organizational skills
- Strong project management skills
- Good judgement and able to handle confidential and sensitive reporting matters
- Excellent oral and written communication skills
- Experience in Microsoft Office, Google Drive, and creating complex mail merges
- Experience with data management software, preferably PowerSchool
