Custom Job Purpose:This position is responsible for performing clerical and/or record-keeping tasks on the automated student system as required to handle student registration forms,scheduling, sending and receiving student transcripts, records, and student attendance.\u00A0 This position provides support to the elementary school office by maintaining, monitoring, and managing an accurate student database and student records/files; providing customer service and secretarial support; managing the daily student attendance process; and monitoring daily visitors to ensure a safe school environment. Responsible for the administration, coordination and communication of the student and course registration process and master schedule.\u00A0 Responsible for accurate student database information and related reports.Essential Functions of this JobCompiles and types school attendance reports or other material from copy, rough draft, or general instructions. Types and processes students' registration, absentee lists, tardy slips, etc. Types form letters and other routine correspondence based on information from records and files. Prepares reports, narratives, and statistical tabulations.\u00A0Duties of this position include but are not limited to:1. Registering students.2. Maintaining active student records including grades.3. Receiving and sending student records.4. Maintaining a student master file.5. Requesting and sending student transcripts.6. Keeping student attendance records.7. Completing monthly attendance records.8. Computing F.T.E. reports.9. Keeping class enrollments.10. Complying with requests for proof of age, graduation, enrollment, anddriver's education papers.11. Securing health reports on out-of state students.12. Preparing data for computer processing.\u00A0Non-Essential Functions of this JobPerforms other duties as assigned.Knowledge, Skills and Abilities:Knowledge of the operation and program of the school. Knowledge of office practices and procedures, grammar, spelling, and business correspondence. Ability to exercise independent judgment. Ability to deal effectively and courteously with students, school personnel, and the general public. Ability to type at a prescribed rate of speed. Bilingual/biliterate preferred.Education, Experience and/or Certification/License RequirementsGraduation from an accredited high school or completion of GED, clerical, and secretarial office experience, or an equivalent combination of training and experience.Work Context:Requires sitting and some standing, walking and moving about to coordinate work. Requires face-to-face discussions and contact with individuals and/or teams. Requires the use of alternative communication systems, such as electronic mail, telephones and computers. Requires coordination of work tasks to establish priorities, set goals and meet deadlines. Requires work with both internal and external contacts, and with the public.Physical Environment:Requires working indoors in environmentally controlled conditions. Requires sitting for the majority of the day, and the ability to lift, carry, move and/or position objects infrequently weighing up to 20 pounds.
