In this role, you will be an integral part of a team that focuses on ensuring secure and efficient management of user identities and data across the organization. Your contributions will directly support key projects involving team coordination, event planning, and the management of hardware and equipment. Responsibilities:
- Administrative Support: Perform a variety of complex administrative tasks for all levels of management, including external business partners.
- Calendar Management: Manage the complex calendar of a Senior Partner Director for a large organization (350+ members), ensuring efficient scheduling and conflict resolution.
- Travel and Expense Coordination: Coordinate travel arrangements, process business expenses, and ensure compliance with company policies.
- Team and Headcount Management: Oversee team headcount, including PCN updates, recruiting tracking, and requisition submissions, ensuring smooth personnel operations.
- Event and Meeting Coordination: Plan and coordinate meetings, department events, and offsite activities, ensuring all logistical aspects are handled efficiently.
- Facility and Equipment Management: Manage the procurement of goods and services, including computer equipment, office supplies, and vendor relationships.
- Special Projects: Undertake special projects as assigned, ensuring timely and high-quality completion.
- Office Support: Provide general office support and act as the primary contact for department-related inquiries.
- Financial Operations: Support department financial operations by handling budgets, invoices, and other financial tasks.
- Onsite Presence: Be available to work onsite 3-4 times per week and for special events/offsites on campus.
Qualifications:
- Minimum of 5 years of experience as an administrative assistant, including supporting a partner-level manager.
- Minimum of 8 years of experience in high-level organizational tasks, including space/equipment management, calendar support, and travel management.
- A college degree is required.
- Strong mastery of the English language, both written and verbal, with an emphasis on well-organized resumes and the ability to fully explain work history.
- Experience managing or supporting a large team (300+ members).
Preferred Qualifications:
- At least 2 years of experience at Microsoft, preferably in an administrative role.
- Proven ability to handle the responsibilities of a large corporate team with a high degree of maturity and professionalism.
- Demonstrated ability to meet deadlines, produce quality work, and handle multiple tasks simultaneously with assertiveness and confidence.
Salary Range Pay ranges vary based on multiple factors including, without limitation, skill sets, education, responsibilities, experience, and geographical market. The pay range for this position reflects geographic based ranges for Washington state: $55,000 to $60,000 USD/annually. The salary/wage and job title for this opening will be based on the selected candidate's qualifications and experience and may be outside this range.
