The ideal candidate will also serve as a crucial liaison between the Plant Management leadership team and the broader site employees. This role requires exceptional communication skills, a strong ability to multitask, and a customer-centric approach to foster relationships and ensure smooth operations.Core Competencies: Functional/Technical Skills, Organizing, Priority Setting, Time Management, Approachability, Action Oriented, Results Focused, Business Acumen, Composure, Decision Making, Informing, Written Communication Skills, Planning, Quick Learner, Problem Solving, Interpersonal SavvyKey ResponsibilitiesAdministrative Duties:- Manage office operations, including ordering office supplies, managing vendor appointments with Plant Manager, and maintaining office equipment and inventory levels. - Support HR-related activities, such as onboarding new employees and coordinating training sessions with appropriate logistics planning, food and beverage, meetings with onsite leadership team.- Assist with special projects and other duties as assigned by the executive team.Executive Support:- Manage and maintain schedules, including meetings, appointments, travel arrangements and expense reporting for Medical Business Unit leadership. - Prepare and edit correspondence, communications, presentations, and other documents for the executive team.- Handle sensitive and confidential information with discretion and professionalism.- Assist in the preparation and coordination of meetings, including setting agendas, taking minutes, and following up on action items.Sales Team Coordination:- Facilitate communication between the executive team and the sales department to ensure alignment on strategic objectives and initiatives.- Assist in the preparation of customer sample orders, literature ordering, business cards and shipping.- Coordinate and support sales team meetings and events, including agenda preparation, on-site logistics and follow-up.Customer Engagement:- Serve as a primary point of contact for customers visiting the Windsor Locks site, addressing inquiries and concerns with prompt and professional responses.- Coordinate onsite customer meetings and travel agenda, food, beverage and logistics, ensuring a seamless and positive experience.- Assist in the preparation and execution of customer engagement initiatives, such as newsletters, surveys, and events.Qualifications:- Bachelor's degree - Proven experience as an Executive Assistant or in a similar role, preferably with experience in sales support and customer service.- Exceptional organizational and time-management skills.- Strong interpersonal and communication skills, with the ability to interact effectively with executives, sales teams, and customers.- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and CRM software.- Ability to handle multiple tasks and projects simultaneously in a fast-paced environment.- High level of discretion and confidentiality.- Strong analytical and problem-solving abilities.Benefits:- Competitive salary and performance-based bonuses.- Comprehensive health, dental, and vision insurance.- Retirement savings plan with company match.- Paid time off and holidays.- Professional development opportunities.- Friendly and collaborative work environment.Ahlstrom is an equal opportunity employer.
