DUTIES & RESPONSIBILITIES
This is a clerical position that provides general clerical support to the Healthy Start Screening Program and Maternal/Child Health Nursing Program and is responsible for data collection, analysis, and submitting reports for the program. Duties and responsibilities include varied complex clerical skills and sound judgment. Work is performed under the general supervision of the Office Operations Manager I.
Organize data analysis for Healthy Start program. Enter data into the Florida Department of Health in Broward County database system in the Health Management System (HMS), Healthy Start module, and the Well Family System (WFS). Maintain an effective tracking system of all Healthy Start screens processed daily. Update data from screens into HMS, Healthy Start module, and WFS. Scan documents as attachments and enter them into database systems.
Receives and screens incoming calls, takes messages and responds to public and provider inquires. Opens mail and routes appropriately. Maintains an accurate and up-to-date record of work performed weekly. Collect data from medical providers and Healthy Start Screens and prepare monthly reports and statistical summaries of Healthy Start screens processed. Sources of information include clinics, private providers, and hospitals.
Checks FMMIS (Florida Medicaid Management Information System) to complete Medicaid numbers list from HS Coalition monthly. Enter Medicaid into WFS to update client's information to match HMS entry and to avoid duplications of client entry. Run reports to keep WFS Medicaid database up-to-date monthly. Compile weekly and monthly reports, procedures, and other documents as needed. Perform routine clerical duties in support of the Healthy Start program.
Conducts monthly analysis of Healthy Start screens processed for the previous months, report any discrepancies. Review all Healthy Start screens from the previous months. Print lists from HMS of Healthy Start screens processed for the previous months. Verify that all the screens on the list are in the file for the correct month, names are correct, and they are filed in the proper file. Report any missing Healthy Start screens to Office Operations Manager.
Keeps track of all inventory and supplies needed for the general program. Answers telephone calls/transfer calls about the program. Protects the security of screens and ensures that confidentiality is maintained. Ensures client's medical record/EHR is completed following policy and procedures. Utilizes approved forms/screens.
Identify screens without insurance to refer them to KidCare for assistance. Identify screens with specific risks to refer to the appropriate program for further services. Makes copies of these particular screens and places them in the appropriate folders for processing. Closed out files in HMS for no further services needed clients.
Participates if workgroups and meetings and attends/completes required trainings. Reviews/responds to email daily and completes on time all administrative requirements such as EARs, timesheets, reports, etc. Assist with the training of new employees and monitor the work of other clerical staff within the program.
Provides training to program staff as needed with regard to tracking referrals and managing the Healthy Start Case Management System. Participate on statewide conference calls as required.
Performs other related duties as assigned. Organizes and maintains client's records and files by agency policy. Maintain calendar of meetings, reports, and other commitments as assigned. Perform primary duties of other clerical staff in their absence and other related administrative duties as required.
KNOWLEDGE, SKILLS & ABILITIES
+ Skill in the use of Microsoft Office Suite based computer software, HMS, Well Family System, and FMMIS.
+ Ability to review data for accuracy and completeness.
+ Ability to establish and maintain effective working relationships with others.
+ Ability to understand and apply applicable rules, regulations policies, and procedures.
MINIMUM QUALIFICATIONS
+ Willing to work before, during and/or beyond normal work hours or days in the event of an emergency.
+ Current employee of the Florida Department of Health.
+ Valid driver's license with no major infractions.
PREFERED QUALIFICATIONS
+ Experience working with the Florida Medicaid Management Information System (FMMIS).
+ At least six (6) months working experience with Health Management System (HMS).
+ At least six (6) months working experience in Maternal and Child Health.
+ At least six (6) months working experience with Microsoft Suite (i.e. Word, Excel, PowerPoint, Outlook, etc.).
+ At least 6 months of experience with Well Family System (WFS).
