Your Specific Responsibilities:
Accepts payments for services from clients, advises client of any past due balances, with an effort to collect payment at that time. Maintains all payments received, cash, checks, or credit cards. Acknowledges clients checking in/out for services. Contact client with upcoming appointments to notify of any balances and confirm address for statements to be mailed. Position accepts and receipts payments of services and provides a receipt to all customers as required. Responsible for cash drawer and security of monies received, daily cash drawer monies balanced.
Input services into HMS from superbills within 3 days from date of service. Input services for transfers. Access insurance websites to verify eligibility information daily, obtain insurance authorizations as needed. Correct billing errors. Works closely with the billing department and under the supervision of the Clinic Manager.
Appropriately schedule and re-schedule client appointments utilizing the HMS patient database according to the existing clinic schedule templates. Enters the updated demographic and financial information into HMS, complete all information for financial status, advises the client of costs, address client questions when necessary.
Responsible for answering a multi-line telephone system promptly, courteously and with proper office identification. Identifies clients' needs through a variety of questions via phone or in person making appointments using the HMS system. Works closely with the supervisor to ensure appointment schedules are up to date and accurate. Works collaboratively with all front desk staff to assist with distributing accurate information, preparing medical records and preforming cashiering functions.
Responsible for entering, uploading, copying, and faxing Healthy Start Prenatal referrals without errors in the HMS Healthy Start system and submitting a monthly Health start report.
Responsible for Interviewing and submitting Pregnant Women (PEPW) Presumptive Eligibility applications for Pregnant Women. Works in the FLORIDA Medicaid system to determine Temporary Prenatal Medicaid for pregnant women.
Other duties as assigned by management.
Required Knowledge, Skills, and Abilities:Ability to operate basic office equipment such as desk phone, copy machine. Ability to exhibit excellent verbal and written communication skills. Strong analytical and problemsolving skills. Extensive knowledge of insurance and billing processes, or the ability to quickly learn, company's services. Proficient with Microsoft Office Suite and related software. Organizational skills, a sense of urgency and strong attention to detail.
Qualifications:
Minimum - Current Florida Department of Health employee, in a Career Service (CS), or Other Personal Services (OPS) position with 1 year of experience in customer service and clerical or high school or GED. Able to operate a computer and use Microsoft Office programs to generate a variety of standard documents. Experience in billing processing including preparing invoices/correspondence for delivery, processing payments in the HMS database, answer customer billing questions, conduct follow-up calls, and schedule appointments.
