Job OverviewThe George Washington University Development and Alumni Relations (DAR) Division is seeking a Senior Constituent Records Coordinator. DAR is responsible for leading the university's alumni and fundraising effortsand promotes a culture of philanthropy throughout the university community, including alumni, students, parents, faculty, staff, corporations and foundations, patients, and other friends. Our goal is to advance GW's mission of excellence in education, research, scholarship, and patient care.The Senior Constituent Records Coordinator has primary responsibility for processing complex gift and biographical records into the DAR database (Ellucian Advance), ensuring timely and accurate data updates to support Advancement operations and donor engagement. This senior role requires a high level of expertise in managing both gift and biographical records and involves the following key duties:Gift Processing
- Reviews and processes gifts from the university's online giving platform, handling adjustments, refunds, and transfers.
- Manages complex gift transactions, including in-kind, planned gifts, securities, and payroll deductions.
- Collaborates with the Assistant Director, Gift Processing and the Finance Division to set up new funds, balance daily gifts, and provide audit documentation.Records and Database Management
- Conducts accurate and timely updates to donor biographical information.
- Ensures database integrity in creating new records, updating existing records, tracking events, and integrating data from other platforms.
- Identifies and resolves data discrepancies, enhancing data integrity by standardizing fields (e.g., salutations, addresses).Advancement and Donor Relations Services
- Responds to data inquiries from colleagues by researching donor records, resolving errors (e.g., declined payments, incomplete information) and clarifying donor intent.
- Applies analytical skills and judgment in handling donor interactions, tribute gifts, and regulatory compliance (IRS, HIPAA, FERPA).Advancement Infrastructure
- Leads and participates in database projects, ensuring the maintenance of key modules.
- Identifies process inefficiencies, recommends corrective actions, improves automated services, and safeguards sensitive data.
- Liaises with vendors (e.g., wealth screening, data appends, online giving) to optimize resource use and manage budgets.
- Assists with testing new systems, implementing enhancements, and revising policies.Performs other related duties as assigned. The omission of specific duties does not preclude the supervisor from assigning duties that are logically related to the position.Minimum QualificationsQualified candidates will hold a Bachelor's degree in an appropriate area of specialization plus 1 year of relevant professional experience, or a Master's degree or higher in a relevant area of study. Degree must be conferred by the start date of the position. Degree requirements may be substituted with an equivalent combination of education, training, and experience.Preferred Qualifications
- Understanding of SQL with skills to run data queries and integrity checks is desired.
