Role & Responsibility:

  • Establish and monitor the administrative procedures for the project, ensuring that all procedures conform to guidelines established.
  • Coordinate with the architect and owner on the planned design to ensure that it is free from deficiencies, impractical details and code violations At project start-up coordinate with the Project Executive and Estimating on the development of project Special Conditions Coordinate with the Project Executive in the bidding of the project and the award of contracts.
  • Ensure the establishment and maintenance of the Master Activity Schedule, incorporating dates and times for owner decisions, availability of design information, procurement of materials and contracts, lead times for fabrication and field installations, and owner supplied equipment.
  • Establish and maintain effective relationships with the owner and architect.
  • Meet at regular intervals, with the owner and architect for the purpose of reviewing all aspects of the project.
  • Keep the owner advised on the budget status and project schedule.
  • Provide advice / counsel as needed to the owner and/or architect.
  • Manage overall project budget including, but not limited to construction cost, contingency and soft costs.
  • Ensure the accuracy and completeness of all contract documents and distribute all necessary contractual information to appropriate parties, in order to facilitate coherent and targeted efforts across vendors and service providers.
  • Coordinate with staff the enforcement of overall project safety. Coordinate safety with owner programs to ensure compliance when working in an occupied or operating facility.
  • Develop, monitor and maintain procedures for handling submittals on the project, ensuring that all submittals are logged in CMiC and are duly reviewed before responding to subcontractor and/or forwarding to architect.
  • Develop, monitor and maintain procedures for dealing with change management on the project, from RFI through confirmation of change orders.
  • Ensure that all relevant information is logged in CMiC, signed off as appropriate and that all change orders authorized are in the best interest of serving the owner.
  • Review all pay applications prior to submittal to owner for payment, verifying percent of work complete and materials used on the project to date.
  • Provide accurate cost and profit projections.
  • During construction, have the foresight to anticipate unforeseen conditions, errors and omissions, contractor claims and owner requests, gaps in the construction documents as well as field conditions that may require redesigns, to establish an accurate cost to complete for the project.
  • Hold regular meetings with owners and architects to review project progress and to ensure that all key players are on-the-same-page; ensure that minutes from these meetings are produced, distributed and filed.
  • Prior to substantial completion, coordinate and manage the compilation of the
  • punch list with the owner and architect, interface with contractors to ensure that each item is satisfactorily completed.
  • Coordinate inspections, code compliance reviews, and Certificate of Occupancy approvals with the proper authorities.
  • Oversee project administrative staff in closing out and appropriately filing all paperwork and documentation associated with the project In coordination with Human Resources, identify candidates for open positions, participate in the interviewing and reference checking procedures in order to select the best candidates.
  • Ensure that the skill sets of direct reports are at all times up to date to allow for the delivery of excellence to our clients; coordinate with Human Resources on the implementation of development plans aimed at enhancing the competencies of subordinates or preparing them for advancement.
  • Formally evaluate the performance of your subordinates in accordance with established company practice; assist subordinates in goal setting and work with them to monitor progress and achieve success.
  • Recommend subordinate promotions, merit increases and special rewards as appropriate.
  • Consistently strive to create a motivational environment for all subordinate staff members where staff are encouraged and enabled to deliver optimal performance at all times.
  • Additional responsibilities as may be assumed or assigned from time to time in support of our company's effort to achieve client loyalty.

Skills & Experience

  • Four-year degree in Engineering (Civil Engineering preferred) with a Master's in Business Administration preferred.
  • Minimum of eight years hands-on experience in the commercial construction field, with a minimum of four years' experience in major commercial project management.
  • An equivalent combination of education and experience may be acceptable in the event that either requirement is not met as stated.
  • OSHA 30-hour certification required.
  • A demonstrated commitment to exceeding client expectations in the delivery of safe, quality, cost-efficient and timely service.
  • Demonstrated problem solving skills; ability to face challenging situations, view from a variety of different angles; assess strength of options, select and implement the best solution.
  • Ability to think-on-your-feet, making effective decisions on a timely basis, sometimes with limited information.
  • Outstanding verbal and written communication skills for interacting with people one-on-one as well as in small and large groups.
  • Ability to prioritize multiple tasks demanding of immediate attention, and to juggle multiple, on-going, concurrent responsibilities.
  • Competency in the following computer programs: MS Windows, MS Word, MS Excel; Suretrack, hands-on experience with a database program.
