Job Description
A prestigious healthcare organization is seeking a Senior Contracts Specialist to join its team. This individual will be responsible for the review, negotiation, and administration of contracts, grant agreements, subawards, and service agreements related to sponsored awards. The role involves collaboration with various internal departments, external partners, and sponsoring agencies to ensure the smooth execution of agreements. Additionally, this position will contribute to training and education initiatives aimed at enhancing sponsored programs administration processes.
Position Summary:
The Senior Contracts Specialist will oversee the timely processing and execution of agreements, liaising with stakeholders such as the principal investigator (PI), research departments, central administration, and external sponsors. This individual will also assist with developing training materials, standard operating procedures (SOPs), and other educational programs to improve the sponsored awards administration process.
Key Responsibilities:
- Facilitate the review, negotiation, and execution of contracts, ensuring timely completion and compliance with policies.
- Coordinate with sponsoring agencies, collaborating institutions, and internal teams to gather necessary documentation and signatures for agreements.
- Educate departments and PIs on sponsored awards administration systems and processes to enhance efficiency.
- Develop new forms, guidelines, and manuals to streamline the contracting process and suggest improvements to enhance clarity and efficiency.
- Lead training sessions for staff and faculty on topics such as proposal preparation, budgeting, and compliance requirements.
- Manage statuses for all agreements and ensure information is maintained in an accessible system.
- Provide legal review and negotiation of agreements, including clinical trial agreements, government grants, and other contracts, ensuring alignment with institutional policies.
- Act as the main liaison between internal and external stakeholders, resolving conflicts and addressing delays in the contracting process.
- Draft agreements leveraging existing templates and ensure institutional interests are protected through persuasive negotiation and sound legal understanding.
- Resolve contract-related issues such as invoicing discrepancies, study start-up delays, and audit-related requests.
Additional Responsibilities:
- Participate in systems improvement initiatives for the sponsored awards administration process.
- Maintain knowledge of relevant procedures, laws, and guidelines applicable to contract management.
- Perform advanced word processing, spreadsheet creation, and database management tasks as required.
Minimum Qualifications:
- Bachelor's degree in Healthcare Administration, Business, or a related field, or equivalent experience.
- 5-7 years of experience in sponsored programs administration in a healthcare or research setting, or a similar role involving grant and contract administration.
- In-depth knowledge of grant policies and regulations for public and private sectors.
- Proficiency in database management, spreadsheets, word processing applications, and internet-based research tools.
- Strong organizational, time management, communication, and interpersonal skills.
Preferred Qualifications:
- Master's degree in a related field (MBA, MPA, MPH) or a Juris Doctorate.
- Demonstrated action-oriented approach with strong technical, analytical, and organizational skills.
- Experience working with diverse teams and fostering a culture of inclusivity.
