Each team member handles multiple events at once, each in a different stage of the planning process. Some of the planning duties include registration management, venue selection, site inspections, contract negotiations, facility management, production management, food and beverage coordination, vendor relationships, sponsor management, speaker management, data reporting for clients and event marketing material. Because we believe in transparency, our events are not brand, themed, or production focused; those skills are usually not transferable to our events.What You'll be Doing:
- Plan multiple events from the Beaverton office
- Prepare, send and track event registrations, manage onsite registration
- Responsible for shipping equipment to event location
- Research and present venue options to client or Account Managers
- Review, edit and negotiate BEO, venue, AV and other vendor contracts
- Track event milestones and participate in regular event syncs with the larger client teams
- Onsite point of contact for all event related requests, questions, and concerns
- Assist with set-up and tear down of events
- Participate in post-event debriefs
Travel internationally and domestically will be up to 25% About You
- Bachelor's degree in Communications, Business or Marketing, or equivalent experience
- Minimum of 5 years experience in Event Management (international experience desired)
- High attention to detail
- Ability to build strong relationships
- Strong knowledge of Microsoft Suite (Word, Excel, Outlook, Access, PowerPoint, and Adobe Acrobat)
- Ability to successfully negotiate contracts
- Excellent project management skills
- Outstanding verbal and written communication skills
- Experience with budgets
- Ability to handle multiple tasks at once
- Thrive in fast paced or stressful situations
