Description
POSITION SUMMARY
The Senior Event Coordinator serves as a member of our Program Operations Team and acts as the liaison for our guest presenters and group leaders.
The role is responsible for coordinating all classroom and program needs, while providing on-site support for all assigned programs, groups or special events. Works closely with Manager, other Event Coordinators, and the Operations team across the organization. This position is also responsible for supporting the ongoing training and development of the coordinators as well as creating and maintaining position specific documentation.
The ideal candidate should be a team player who communicates effectively with presenters and Kripalu departments as well as ensures the successful delivery of assigned programs and events.
ACCOUNTABILITIES/RESPONSIBILITIES
* Communicate and plan effectively with presenters and Kripalu departments to ensure the successful delivery of assigned Programs, Groups and Events.
* Coordinate pre-production details such as program schedule, book signings, supplies, audio visual, room setup, assistants, housing and transportation.
* Serve as the host for presenters, group leaders, musicians, or other designated personnel on the day of their arrival to review event details and ensure a successful execution.
* Lead operations related to management of marquee programs, livestreams or special events as assigned.
* Create and maintain BEOs, collecting data and capturing updated program information.
* Participate in weekly BEO meetings
* Actively participate in continually evaluating and improving the experience of all Presenters and Guests.
* Maintain working knowledge of planning systems across all programming areas and internal events.
* Oversee creation, maintenance, and execution of program schedule screens.
* Partner with Manager to provide ongoing onboarding, training and development of all Event Coordinators.
* Partner with Manager to develop position manuals, documentation, and standard operating procedures, ensuring all is kept updated on a regular basis.
* Serve as a representative for the Events team at meetings, trainings or other activities when requested.
* Provides coverage or perform special projects and miscellaneous duties as assigned by management, within production and in other areas of the organization when needed.

Qualifications
MINIMAL QUALIFICATIONS
* Associates degree in a relevant area, or the equivalent combination of education and experience
* Minimum of 2 to 3 years' experience in Event Planning
* Intermediate knowledge of Microsoft Office products, specifically Word, Outlook, and Excel.
* Flexibility to adjust schedule as needed to support programs
* Ability to learn new software, systems, and technology

* Prolonged periods of walking/standing during launch day events
* Frequent use of computers and/or Handheld electronic equipment
