As the Senior Operations Assistant with this global firm, you will be responsible for managing operational projects, day-to-day office facilitation and general administrative support to a group of executives. The ideal candidate has a real knack for managing short and long term projects. The team is looking for a highly motivated self-starter who wants the opportunity to showcase their excellent problem solving abilities. About the Job:

  • Maintain an organized office environment, assuring supplies and inventory are stocked, shared spaces are set-up for meetings, and the front desk is clean and welcoming to visitors.
  • Organize firm events such as team building activities and seasonal parties.
  • Prepare and distribute firm newsletter and announcements.
  • Assist executives with calendar management, travel scheduling and ad hoc administrative support such as client file management and document/slide compiling, editing and finalization.
  • Process expense reports and reimbursements.
  • Explore and develop new methods that increase the departments efficiency and responsiveness.
  • Compile financial data and create reports using Excel.

About You:

  • Experienced. You have around five years of blended experience in operations/office management alongside administrative support to a leadership team. A Bachelors Degree is preferred.
  • Computer savvy. You know Microsoft Office like the back of your hand.
  • Strong communicator. You have an effective, concise writing style and outstanding verbal skills.
  • Numbers-oriented. You enjoy working with numbers and have an eye for detail.
  • Initiator. You show focus, determination and get ahead of tasks to assure smooth daily operations.
  • Team player. You are flexible to the changing needs of a busy team and see no ask as too big or small.
