POSITION SUMMARY:

Ensure employees' compensation, updating our internal payroll databases and ensuring timely payments, ensuring all data kept in the strictest confidence. Performs accounting duties according to established policies and procedures with the objective of validating transactions and account balances and resolving discrepancies. Maintain contact with staff and observing confidentiality.

PRIMARY RESPONSIBILITIES:

  • Prepare fortnightly and monthly payroll no later than the fourth Thursday of each month utilizing prescribed payroll software.
  • Enter payroll and pension (when applicable) data ensuring information is accurate and completed in a timely manner.
  • Ensure salary deductions are remitted to the respective financial institutions, credit unions and insurance companies no later than the last day of each month.
  • Resolve discrepancies related to payroll and deductions by responding to queries and actioning with urgency.
  • Preparation and submission of monthly statutory filings no later than the 14th of each month.
  • Calculate bonuses, enter payment data for incentives and advances when required.
  • Distribute payment statements electronically no later than the last day of each month.
  • Monitor staff credit arrangements to ensure payment is recovered via salary deductions.
  • Send notification to the Account Receivables Supervisor of staff resignations to ensure outstanding balances are repaid.
  • Communicate total estimated payroll totals to Senior Leadership no later than the 20th of each month for proper cash flow management.
  • Ensure wages and tax withholdings comply with Tax Administration of Jamaica rules and regulations.
  • Enter new employees' data (e.g., bank accounts and tax identification numbers) into internal databases.
  • Assist with the preparation of fiscal year end reports to the auditors.
  • ADDITIONAL RESPONSIBILITIES:

  • Reconcile United States and Jamaican Dollar accounts, notifying the Real Estate Accountant of all exceptions.
  • Prepare payments for Leasing Company Limited Jamaican Dollar account.
  • Provide support to the Real Estate Accountant when required.
  • Escalate matters to Manager that falls outside the scope of this position's authority.
  • Any other duties assigned by management.
