Job Overview
We are seeking an experienced and dedicated Director of Property Management to oversee Property Managers and the daily operations of our residential and commercial properties. The ideal candidate will possess a strong understanding of property management principles, Fair Housing regulations, and exceptional customer service skills. This role requires a proactive and highly organized leader who can manage cross-departmental responsibilities, ensure effective communication across teams, and prioritize tasks in a fast-paced environment.
Key Responsibilities
- Oversee all Property Managers and Assistant Property Managers, ensuring their teams are organized and aligned with company goals.
- Take a proactive role in managing all aspects of property operations, including leasing, tenant relations, and maintenance, ensuring smooth day-to-day activities.
- Ensure compliance with Fair Housing regulations and maintain accurate records across all properties.
- Develop and implement property management strategies to improve resident and tenant satisfaction, focusing on effective communication and relationship management.
- Supervise property maintenance activities, ensuring timely responses to tenant requests and adherence to safety standards.
- Manage property budgets, financial reports, and contracts, maintaining a focus on fiscal responsibility and cost efficiency.
- Utilize Rent Manager software to track leases, payments, and maintenance requests while ensuring all data is updated accurately and promptly.
- Foster strong relationships with tenants, owners, vendors, and board members through excellent communication and problem-solving skills.
- Oversee the transition of properties in and out of the company's portfolio, ensuring smooth processes and timely execution.
- Lead communications with Ownership, Condo Boards, and Co-op Boards, ensuring clear and concise updates on property performance and projects.
- Oversee all tenant application processes, including rental, sales, and alteration agreements, ensuring compliance and accuracy.
- Manage move-in/move-out procedures, including approvals for new tenants, deposits, and walkthroughs.
- Oversee all third-party vendor, legal, insurance, and utility communications, ensuring strong vendor relationships and timely issue resolution.
- Manage preparation and follow-ups for Board and Sponsor Meetings, ensuring all necessary materials are organized and delivered on time.
- Ensure compliance with Annual Regulatory Filing Requirements and keep the team on track for timely submissions.
- Lead the financial management efforts by overseeing Property Managers and Assistant Property Managers in budget creation, financial reports, and funding requests.
- Ensure that all internal trackers—such as insurance, insurance claims, utilities, board meetings, and transition trackers—are kept up to date and accurate.
- Coordinate and monitor emergency coverage for weekends and weeknights, ensuring managers provide timely logs for any emergencies that arise.
- Conduct weekly meetings with Property Managers and Assistant Property Managers, providing guidance and support where needed.
- Submit quarterly performance reports for Property Managers and Assistant Property Managers, ensuring accountability and continuous improvement.
- Perform semi-annual job performance reviews with Property Managers and Assistant Property Managers, ensuring feedback is constructive and actionable.
Requirements
- Proven experience in property management with a deep understanding of relevant laws and regulations.
- Strong knowledge of Fair Housing regulations is essential.
- Proficiency in Rent Manager software is preferred.
- Excellent customer service skills, with a focus on building and maintaining positive relationships.
- Highly organized with a strong ability to multitask and manage time effectively across multiple departments.
- Strong leadership and managerial skills with experience in overseeing teams and coordinating across functions.
- Experience working with Condominiums, Cooperatives, and Rentals is required.
- Ability to thrive in a fast-paced, dynamic environment and take initiative when needed.
- Exceptional verbal and written communication skills with the ability to effectively manage communication between departments, tenants, and owners.
- Strong managerial skills required.
