The Service Administrative Coordinator is an integral contributor to the success of the Service (computer repair) department operating out of the corporate office. This role involves working closely with the CFO, Sr. Director of Service, and Manager, Service Purchasing and Vendor Management to perform administrative duties and complete operational tasks. The role serves as a key support resource for the Service leadership team.

MAJOR REPSONSIBILITIES

  • Provide operational support to the Service leadership team including:
    • Maintain and update Standard Operating Procedure repository
    • Maintain Vendor contract repository
    • Process invoices and monitor vendor chargebacks
    • Invoice and expense management processing
  • Partner with stores to oversee system access rights and manage user accounts and permissions for key Service systems
  • Manage business reports and website reporting repositories and develop reports to support key initiatives including data exporting and importing
  • Perform administrative duties such as scheduling meetings and coordinating travel for department meetings and store events
  • Work with the Service Project Manager to help develop and manage project related inquiries, project plan status reporting, and project follow-up actions
  • Perform executive support for CFO by assisting with calendar management and project documentation support and coordination

EDUCATION & EXPERIENCE

  • Bachelor's degree in Business Administration or significant industry experience.
  • Proven experience in administrative support and project coordination, preferably within a retail or business context.
  • Strong organizational and problem-solving skills, time management, and attention to detail.
  • Excellent communication and interpersonal skills to effectively collaborate with diverse teams and stakeholders.
  • Proficient in Office 365 products including Outlook, Excel, Word, and PowerPoint.
  • Ability to run reports and create reports in Excel and present data highly desirable. Intermediate to advanced skills in Excel i.e.: Formulas and Pivot Tables preferred.
  • Proficiency in project management software and tools, primarily Microsoft Teams preferred.
  • Ability to prioritize tasks, manage multiple projects simultaneously, and meet deadlines.
