JOB REQUIREMENTS: Masters Building Solutions is an area manufacturer\'s representative firm specializing in engineered solutions for sustainable design, as well as energy-efficient HVAC and building automation systems. We\'re currently seeking an experienced Service Dispatch Coordinator to help us keep growing. The ideal candidate is an extremely detail-oriented and personable multitasker who has experience as a receptionist and/or other front office support in a customer service setting. This person will bring resourcefulness, organization, and stellar communication skills to the service team. Supervisory Responsibilities: None Duties/Responsibilities: Assist in answering service calls, scheduling and dispatching service technicians within the Madison and Milwaukee area. Assist Service Manager and Sales Engineers with service startup coordination. Assist Service Manager with warranty claims to vendors, scheduling and record keeping. Assist Service Manager with interdepartmental needs and scheduling. Work with the service billing department as needed. Process bookkeeping entries into our Jonas Construction financial accounting system. Interface with Masters Sales force with customer scheduling along with direct customer coordination as needed. Receptionist duties at certain times (backup to our main receptionist) Required Skills/Abilities: Strong communication and project management skills. Proficient in Microsoft Excel and/or other database and spreadsheet tools. Proficient in Microsoft Office Suite and/or other project management tools. Detail-oriented: Ability to maintain precise records of all customer profiles, invoices, and payment details. Self-motivated: Ability to work independently or collaboratively as needed. Well-adapted to new software and processes as needed. Knowledge of Jonas Construction Software and Jonas Document is highly desirable. Knowledge of accounting automation is preferred. Experience working in a multi-office environment is preferred. Experience working in one or more of the following types of businesses is preferred: construction, wholesale, contracting, service. Education and Experience: High School diploma or equivalent 3+ years of bookkeeping and/or customer service experience in one or more of the following types of businesses: construction, wholesale, contracting, service. Physical Requirements: Prolonged periods of sitting at a desk and working on a computer. Must be able to lift 15 pounds at times. Work Location: This position is onsite at our main headquarters in Madison, WI. Infrequent travel may be required to other offices in the state or other business-related meetings and/or training. Confer with customers by telephone or in person to provide information about products or services, take or enter orders, cancel accounts, or obtain details of complaints. Keep records of customer interactions or transactions, recording details of inquiries, complaints, or comments, as well as actions taken. Check to ensure that appropriate changes were made to resolve customers\' problems. Contact customers to respond to inquiries or to notify them of claim investigation results or any planned adjustments. Determine charges for services requested, collect deposits or payments, or arrange for billing. Complete contract forms, prepare change of address records, or issue service discontinuance orders, using computers. Refer unresolved customer grievances to designated departments for further investigation. Resolve customers\' service or billing complaints by performing activities such as exchanging merchandise, refunding money, or adjusting bills. ***** OTHER EXPERIENCE AND QUALIFICATIONS: Required Skills/Abilities: Strong communication and project management skills.
