Senior Associate, Facilities ServicesPOSITION PROFILEResponsible for assisting in the daily management of assigned facility. The Corporate Facility Services Specialist will perform weekly inspections of building, minor maintenance, move furniture and boxes, conference room presentation set ups.The Specialist must be customer service driven, with a keen eye for detailJob Duties and ResponsibilitiesShipping and Receiving Services* Services Description* Ricoh will provide trained personnel to service Facilities.* Facilities will be staffed from 8:00 am to 4:30 pm Monday through Friday.* Load and unload delivery trucks. (First priority of the position)* Organize the shipping and receiving dock area.* Work with Logistics to schedule trucks and BOLS.* Prepare pallets/skids with proper strapping/wrapping and weighing for shipment.* Maintain shipping documents by scanning BOL/packing slip to receiver and saving in folder.* Notify receiver(s) of inbound load(s) and provide paperwork received.* Assist administration or any other team when needed for various tasks.* Services Description (additional - only for permanent on-site facilities personnel* Maintain warehouse inventory with incoming/outgoing pallets through the Menasha website.* Maintain and notify Logistics when regrind scrap is ready to be picked up.* Maintain the electronic scrap skid(s) and notify Facilities Manager when it is ready to be picked up.* Train and provide guidance on scope of work, policies, and procedures to backup FSRs.Building Maintenance as assigned by Facilities Manager/ Service Ticket.* Completion of service tickets as assigned by due dates.* Cubical/office reconfigurations that are minor. If heavy call-in moving experts Light bulb, ceiling tile and carpet repairs/changes.* Assemble new chairs and oil hydraulics of chairs.* Furniture set up for monthly luncheons, trainings and leadership meeting.* Installation of various office equipment (shelfing, tables, desks).* Mount pictures, plaques and white boards.* Minor repairs which do not require trade certifications (repair of door handle, repair of partition wall, minor patching of dry wall, minor painting).* Raise and lower the American flag outside.* Shovel and salt entryways in winter when needed.* Clean out the sewer drain outside the dock when needed.* Take Konica meter reads monthly (No repairs or toner exchanges, this is to be done by Konica service tech).* Maintain/refill soda, coffee and tea supply in the lunchroom and break areas in various departments.* Assist administration or any other team when needed for various tasks.* Other duties as assigned by Facilities Manager.Inventory or Stock.Monitor products weekly.* Cafeteria utensils (forks, spoons, knives, bowls, plates).* Paper supplies (paper towels, napkins, cups).* Stretch wrap/heavy duty bundle wrap used in shipping.* Light bulbs (advise Facilities Manager when low).* Printer/copier paper. Turn in inventory to Administrative Assistant.* Lunchroom soda, coffee, and tea supply.* Lunchroom coffee extras. (Creamer, sugar, straws.)* Report details to Facilities Manager for reorder when it applies.* Safety inspections of cubicles throughout the building and the loading dock monthly. Take pictures and report anything that may be unsafe to Facilities Manager.* Check fire extinguisher expiration dates monthly.* Inspect AEDs monthly.* Inspect fork truck daily.* Inspect emergency lights weekly.* Inspect pallet plastic banding and crimps weekly.* Refill copy paper in printers throughout the building every TuesdayQUALIFICATIONS (Education, Experience, and Certifications)* High School Diploma or equivalent is required* Valid Drivers' License required* Ability to walk, stand, kneel, and carry objects up to 50 lbsKNOWLEDGE, Skills And Abilities* Excellent customer service skills.* Ability to be flexible and to be a team-member is a must.* Ability to understand and follow written and verbal communication and instructions.* Ability to work independently on multiple projects involving different customer groups.* Ability to work as a team member in balancing workloads and pending tasks that need to be completed within a given timeline.* PC Literate* Basic office skills, creating reports, filling out forms, tracking invoices/work orders etcWorking Conditions, MENTAL AND PHYSICAL DEMANDS* Office environment with adequate lighting and ventilation, normal range of temperature and noise levels* Work assignments vary and may include work in warehouses (forklift) or outside work.* Physical effort is required.* Work requires walking, standing, bending, reaching, lifting or carrying objects that typically weigh up to 50lbs.The above statements are intended to describe the general nature and level of work being performed by people assigned to this job.
