Role: Shipping / Receiving Clerk
Reporting to: Lee Gilmore, General Manager
Duties & Responsibilities: The role includes, but is not limited to, the following responsibilities:
1. Material Ordering:
- Monitor and trigger orders for materials based on the requirement, usage and production forecasts.
- Collaborate with other teams to ensure proper material specifications and quantities are ordered.
- Prepare and issue purchase orders to suppliers and follow up to ensure on-time delivery.
- Coordinate with suppliers to resolve any issues related to orders, pricing, or delivery.
- Shipping and Receiving:
- Oversee the receiving of materials and products, ensuring they match purchase orders in terms of quantity, specifications, and condition.
- Inspect incoming shipments for damage and discrepancies, and report issues to vendors or appropriate personnel.
- Process and maintain shipping documentation (e.g., packing slips, bills of lading).
- Coordinate with shipping carriers to ensure timely and cost-effective delivery of materials.
- Track and manage returns and exchanges for damaged or incorrect shipments.
- Inventory Management:
- Monitor and maintain inventory accuracy and optimize stock levels to meet demand without overstocking.
- Update and maintain inventory management systems to track material movements (e.g., ERP, spreadsheets).
- Report on material shortages, overstock, or obsolete items and recommend corrective actions.
2. Material Handling:
- Ensure proper handling, storage, and organization of materials within the warehouse or storage areas.
- Ensure the materials are stored according to best practices and safety standards.
- Work with cross-functional teams to plan material requirements and anticipate supply chain challenges.
- Collaboration and Communication:
- Serve as a liaison between internal departments, suppliers, and shipping carriers to facilitate the smooth flow of materials.
- Provide regular updates on order status, inventory levels, and potential supply chain disruptions.
- Assist with resolving any discrepancies or delays in the order fulfillment or shipping process.
3. Compliance and Safety:
- Ensure compliance with all company policies, as well as regulatory requirements (e.g., safety, environmental).
- Adhere to safety protocols while handling materials and managing warehouse activities.
