Job DescriptionSpecial Assistant V***This position requires an active Secret clearance.***The Special Assistant V will provide high-level administrative and technical support to the Front Office (FO) of J/TIP. This role involves conducting research, managing liaison efforts, and serving as an information gatherer between the FO, J/TIP staff, and various internal and external stakeholders, including government agencies, the White House, and Congress. The assistant will attend high-level meetings, prepare briefing materials, and ensure the efficient processing of documentation addressed to the Ambassador. The position demands excellent organizational skills, attention to detail, and the ability to handle confidential information appropriately.Compensation & Benefits:Estimated Starting Salary Range for Special Assistant V: $80,000 to $85,000Pay commensurate with experience.Full time benefits include Medical, Dental, Vision, 401K and other possible benefits as provided. Benefits are subject to change with or without notice.Special Assistant V Responsibilities Include:
  • Execute a range of high-level administrative and technical tasks to support the Front Office (FO), leveraging knowledge of the mission and activities of J/TIP to alleviate administrative burdens and aid in the discharge of responsibilities.
  • Conduct research on various topics for the FO, relay key information, support liaison efforts, and serve as an information gatherer between the FO, J/TIP staff, and other internal and external personnel, including other agencies, the White House, and Congress.
  • Attend high-level meetings with the FO to take notes or provide staff assistance to the Ambassador as needed; report back to staff on meetings both verbally and in writing.
  • Prepare and ensure the readiness of briefing books, talking points, and other materials for FO meetings.
  • Expedite the processing and release of action-related documentation addressed to the Ambassador, ensuring it is released from the office within two days.
  • Review correspondence for accuracy, attach appropriate references for prompt processing, and screen and assess all incoming correspondence addressed to the FO as directed.
  • Route documentation and actions to the appropriate individual based on the nature of the document/action or to a Deputy Director or Senior Coordinator for assignment.
  • Maintain a follow-up system on staff work projects and ensure necessary controls are in place. Schedule meetings, appointments, and conferences according to the Ambassador's instructions.
  • Remind the FO and others of scheduled events to ensure timely attendance, reschedule appointments when necessary, and contact other personnel to attend meetings on behalf of the supervisor when needed.
  • Receive senior government officials, high-ranking personnel, visitors, and phone calls from various sectors, determine the nature of requests, and accurately refer callers and visitors to appropriate staff. Personally, handle routine and non-technical information requests.
  • Prepare correspondence, reports, and other documents, ensuring accurate grammar, spelling, capitalization, punctuation, and format in both self-prepared and reviewed materials. Draft replies and routine correspondence, prepare forms, and ensure adherence to requirements for classified material where applicable.
  • Follow up on telephone conversations, initiate necessary actions, and ensure prompt completion. Track and assure proper execution of commitments and obligations made during telephone conversations, making necessary contacts with officials and individuals involved.
  • Make domestic and international travel arrangements based on general travel intentions, traveler preferences, and appropriate travel regulations. Schedule transportation and hotel/government quarters reservations, manage security issues, and accurately prepare travel orders and travel vouchers.
  • Establish and maintain FO records, ensuring files contain all pertinent documents and signatures. Maintain and update the file system for efficient information retrieval, purge files, and perform other file disposition actions according to established procedures. Conduct annual file inventory and handle classified material as required. Aid in requisitioning office supplies, printing support, and related materials for the FO.
  • Perform special projects and other related duties as necessary and serve as a backup for the Executive and Research Assistant and Staff Assistant.
  • Performs other job-related duties as assigned
Special Assistant V Experience, Education, Skills, Abilities requested:
  • Bachelor's degree in a related field (I.e International studies)
  • Minimum of 2 years experience in Foreign Policy, International Studies or High Level Administration.
  • Ability to provide excellent customer service.
  • Ability to demonstrate strong analytical, writing, oral communication, interpersonal, and organizational skills.
  • Ability to think critically, write succinctly, manage multiple projects and deadlines, and work both independently and in a team environment.
  • Ability to liaise with other Department bureaus and offices as well as non-governmental organizations.
  • Ability to conduct research and analysis on foreign policy topics, ideally on human trafficking.
  • Ability to perform administrative tasks successfully.
  • Ability to successfully utilize office automation software applications--advanced functions in Excel or statistical software is a plus but not required.
  • Ability to develop and maintain complex, nuanced interpersonal relationships in a multicultural environment, including providing clear direction to more senior officers
  • SECRET clearance required.
  • Knowledge of current foreign policy objectives and programs to assess the relevancy and implications of global, social, political, economic, geographic and military issues, developments and events affecting the formulation and execution of U.S. foreign policy
  • Knowledge of U.S. foreign affairs information sources, processes, and organizations in order to apply the full range of available information resources and capabilities in supporting the needs of the Department
