OBJECTIVE:
The Senior Operations & Logistics Coordinator is an individual who must be proactive, detail-oriented, with a sense of urgency and a strong background in sales operations, logistic and customer service. The ideal candidate will work directly with clients to ensure the right processes and best practices are in place for smooth flow and optimal performance of the company.
PRIMARY RESPONSIBILITIES:
- Order Management and Tracking
- Inventory Report Analysis on 3PL Inventory
- RMA Process and Return Management
- Initiate process improvements to improve operational efficiency and cost-effectiveness
- Generates deliveries for both domestic and international open orders. Maintains, reviews. tracks and troubleshoots status of all deliveries in system. Demonstrates proficiency in maintenance of deliveries and transfer orders (i.e. reversing, splitting and canceling).
- Shipment coordination (small parcel)
- Implement and execute specific customer routing guidelines and requirements
- Facilitate new account & new supplier setup/onboarding with internal sales team and retailers
- Primary point of contact for Finance when resolving inventory and customer sales order issues
- Coordinate presentation and distribution of product and PR samples
- Manages output of timely international transportation documents and provides support as needed
- Interfaces with forwarders, distribution centers, carriers, team members to drive competitive and cost-effective agreements for all traffic requirements
- Coordinates inventory needed for outside warehouses while maximizing container space
- Coordinates with Supply Chain and Finance to meet order requirements and set priorities towards on-time delivery
- Freight cost analysis in collaboration with Finance Analysis
- Manage the non-sale transportation (demo, promo, events, etc.) and shipping supplies stocked in the in-house warehousing space
- Systems Integration (EDI, webstore interface, WMS, etc.)
- Interface with internal and external departments as needed to support customer accounts and resolve issues promptly and accurately
- Oversees operational systems, processes, and infrastructure while looking for opportunities of improvement or revision
- Raises and tracks issues and conflicts, remove barriers, resolve issues of medium complexity involving stakeholders and escalate to appropriate level when required.
- Manage relationships with key operations suppliers/vendors
- Track supplier/vendor pricing, rebates and service levels
- Review and approve all operational invoices and ensure they are submitted for payment
- Work closely with GM and management team to set and/or implement policies, procedures and systems and to follow through with implementation
- Contribute operations information and recommendations to strategic plans and reviews; prepare and complete action plans; implement production, productivity, quality and customer-service standards; resolve problems; complete audits; identify trends
- Provide other cross-functional support as needed
QUALIFICATIONS:
- Four-year college degree or equivalent work experience
- Minimum 5+ years of operation management experience, including sales ops and logistics management
- Strong understanding of order management processes and knowledge of warehouse operations and logistics
- Prior trade show logistics highly desirable
- Strong organizational skills and ability to work independently, yet able to work collaboratively and understands the greater benefits of a team environment
- Ability to work under and consistently meet tight deadlines while adjusting priorities as needed
- Exceptional problem solving and organizational skills with attention to details and commitment to customer service
- Excellent communicator, both written and verbal
- Self-starter with the willingness and ability to work with a broad range of personalities within a fast-paced, growing environment
- Intermediate level knowledge of all Microsoft office programs in Windows, including Excel, Word, Outlook and PowerPoint is required
