Staff Accountant Job Details Job Location University School of Nashville - Nashville, TN Position Type Full Time Education Level 4 Year Degree Job Category Accounting Description, Responsibilities, & Qualifications Immediate Opening Reports To: Controller Location: University School of Nashville Employment Type: Full-Time, in office Position Overview: The Staff Accountant is a key member of the finance team, responsible for overseeing and managing a variety of accounting and financial tasks to ensure the organization's financial health and compliance with applicable regulations. This role involves managing accounts payable, accounts receivable, payroll, reconciliations, and assisting with audits and financial statement preparation. The Staff Accountant plays a pivotal role in maintaining accurate financial records and providing essential support for strategic decision-making. Key Responsibilities: Accounts Payable Process vendor invoices, verify accuracy and completeness, and obtain necessary approvals. Prepare and process checks, wire transfers, and other forms of payment. Serve as the primary contact for vendor billing issues. Administer and manage the purchasing card program, including uploading monthly purchase card charges into Blackbaud in coordination with the Controller. Prepare and send monthly departmental budget reports in conjunction with the Controller. Process annual 1099s in compliance with federal regulations. Enter and post AP transactions to the General Ledger. Accounts Receivable Collect and process tuition payments and other student fees. Process, record, and deposit checks and cash for accounts receivable. Enter and post deposits to the financial system. Payroll Administration Manage the administration of semi-monthly and monthly payroll in collaboration with the Controller and HR Director. Financial Reconciliations and Reporting Prepare and complete bank reconciliations to ensure accurate financial records. Prepare general ledger reconciliations. Assist in the month-end and year end closing processes in accordance with generally accepted accounting principles. Review general ledger and income statements for accuracy and compliance. Support the Controller in the preparation of financial statements. Perform reviews of Actual to Budget on a monthly basis with Department Heads. Audit Support Assist with external audits by preparing client-prepared documents and other audit-related tasks. Contribute to the preparation of the annual IRS Form 990 and other regulatory filings. General Financial Administration Maintain accurate and organized financial records and documentation. Prepare internal billings for copier, postage, cafeteria, and other services. Collaborate with other departments to ensure smooth school operations and provide financial guidance as needed. Support the Business Office with various projects and initiatives as assigned by the Controller. Perform other duties as assigned. Qualifications: Bachelor's degree in Accounting, Finance, or commiserate experience. Minimum of 2 years of experience in accounting or a similar financial role. Strong knowledge of accounting principles, financial reporting, and tax regulations. Proficiency in financial and payroll software systems (e.g., Blackbaud & Paycom) and advanced knowledge of Microsoft Excel. Excellent analytical, organizational, and problem-solving skills. Ability to prioritize tasks, meet deadlines, and manage multiple responsibilities effectively. Strong communication and interpersonal skills, with the ability to collaborate across departments.
