Your Specific Responsibilities:
The incumbent an employee of the Florida Department of Health in Clay County works to protect, promote and improve the health of all people in Florida through integrated state, county, and community efforts. The incumbent is expected to promote innovation by searching for creative solutions and managing resources wisely. Incumbent may have access to records containing social security numbers in the performance of job duties.
Answers telephones, routes/transfers calls appropriately, makes and reschedules appointments, explains and processes eligibility determination for clients, verifies client insurance, distribute and collect client surveys as directed, conveys client messages to the clinical team and others as directed, confirm client appointments as directed. Prepare letters, reports, and forms as directed. Maintain tidy lobby area.
Manage release, transfer and tracking medical of medical records:
+ Forward the release of medical information to acquire records from other health care facilities and private physicians.
+ Coordinate the tracking of Medical Records.
+ Maintain an up-to-date file of regulations concerning confidentiality and compliance as mandated by DOH.
+ Confer with legal office concerning legal issues on medical records leases.
+ Scan medical records requests into HMS for electronic filing.
+ Process all outgoing medical records request.
Acts as backup to the Records Technician in Vital Statistics to Issue certified copies of birth, death, and fetal death certificates to authorized applicants. Ensures proper procedures are followed for issuance of records. Process electronic credit card (VitalChek) orders. Balance end of day report to ensure funds are accurately entered.
Retrieves and distributes facsimiles received via eFax for the primary agency fax number. Process outbound faxes as requested.
Serves as Care Connect referral connection liaison.
Performs all the other duties as required.
Required Knowledge, Skills, and Abilities:
+ Experience with MS Office, knowledge of office procedures and practices.
+ Ability to enter and understand data collected into respective system/format.
+ Ability to communicate effectively with internal and external customers.
+ Ability to collect, evaluate and analyze data relating to clinical office procedures.
+ Ability to understand and apply applicable rules, regulations, policies, and procedures.
+ Ability to use problem-solving techniques.

Qualifications:
Minimum
+ At least one year of experience answering multi-line business telephones.
Preferred
+ Bilingual
+ At least 6 months in cash handling experience
+ At least 6 months experience in working in a Vital Statistics office (printing birth/death certificates)
+ At least 6 months experience in working with HMS (Health Management System)
