Description / Position Overview

Staff Assistant

In this position you are responsible for providing high level support to Council members, the City Council Administrator, and Legislative Services. In this position, you will utilize independent judgment to perform a variety of highly complex administrative duties and coordinate operational programs.

Essential Job Functions - the basic job duties an employee must be able to perform:

* Provide executive-level support to City Councilmembers, City Council Administrator, and Legislative Services

* Maintain calendars for Councilmembers and the City Council Administrator, including scheduling appointments, organizing meetings, room reservations, and coordinating with executive staff and community partners

* Provide complex support to City Councilmembers and the City Council Administrator, including preparing travel arrangements, maintaining expense accounts, and drafting correspondence

* Provide front desk support including welcoming guests and answering main phone line

* Provide a high level of administrative support as it relates to City Council agendas including coordination of legislative files, department presentations, and invocations

* Provide support to the Boards and Commissions program as it relates to recruitment, interviews, and appointments

* Support City Council and Legislative Services with resolving IT and facilities issues

* Assist with the planning and execution of City Council events such the swearing-in ceremony, receptions, and appreciation events

* Serve as the records liaison for City Council and Legislative Services, including records related to City Council Appointed Boards, Commissions, and Committee, while assisting with the organization and disposition of hardcopy and digital files

* Complete all department purchasing, including reconciling receipts, processing invoices, and issuing purchase orders

* Draft language and create legislative files for City Council Proclamations and manage outside requests

* Coordinate regularly scheduled lunches, including hands-on set up and clean-up of catering and room arrangements

We are looking for candidates who demonstrate:

Knowledge of:

* Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook)

* Public-sector clerical and accounting procedures

* Proper English usage, spelling, punctuation, and grammar

Ability to:

* Establish and maintain effective working relationships with elected officials, executive staff, and community partners

* Communicate clearly and concisely, orally and in writing

* Maintain confidentiality and use good personal judgment and discretion

* Develop budgets, maintain expense accounts, and complete purchasing

* Manage multiple complex calendars and scheduling systems utilizing Microsoft Outlook

Successful candidates will have

* High school diploma or GED supplemented by additional specialized training in administrative duties, accounting, or other related field

* Five years of full-time administrative experience, including experience in an executive support role

One (1) year of the appropriate type and level of experience may be substituted for each required year of post-high school education.

Additional appropriate education may be substituted for the minimum experience requirements.

Ideal candidates will also have

* Executive level experience or experience providing administrative support in a fast-paced political environment

* Experience in event planning and catering services

* Experience working in a government agency and with elected officials

* Experience coordinating and supporting multiple schedules simultaneously

The City of Colorado Springs offers additional compensation depending on the position, area of assignment, and specific job assignments, including shift differential, pay differential, acting or lead, special assignment, hazard pay, longevity, cell phone allowance, uniform allowance, relocation, awards, standby, call out, compensatory time off, tuition, overtime, extra duty, incentive, holiday premium, proficiency, and vacation sell back.
