Job Title: Staffing Coordinator (Hybrid)

Pay Range: $15.00 - $19.00 per hour

Location: Hybrid (Allentown, PA)

  • In-office: Tuesdays, Wednesdays, and Thursdays
  • Remote: Mondays and Fridays

Job Summary

The Staffing Coordinator provides clerical and administrative support to the staffing team and hiring managers, ensuring the seamless flow of the staffing and new hire process. The role manages job requisition files, schedules interviews, supports applicant tracking system processes, coordinates onboarding, and attends recruiting events as needed. The ideal candidate will demonstrate initiative, problem-solving skills, and a commitment to providing an exceptional experience for candidates and hiring teams.

Key Responsibilities:

  • Support all phases of the staffing process, including job posting, interview scheduling, onboarding, and requisition management.
  • Perform data entry and maintain accurate records in the Applicant Tracking System (iCIMS) and HRIS (PeopleSoft).
  • Administer pre-employment assessments, including EEI program scoring, and ensure timely data uploads.
  • Oversee pre-employment screenings, including background checks, drug/alcohol tests, and employment references.
  • Coordinate new hire onboarding processes to ensure all required documentation is completed and compliant.
  • Maintain I-9 and E-Verify compliance for all new hires.
  • Provide administrative support for external recruitment initiatives such as career fairs and outreach activities.
  • Manage job requisition and new hire files in an organized, professional manner.
  • Proactively communicate with candidates and hiring teams to ensure a positive experience.
  • Identify and implement process improvements to enhance staffing efficiency and accuracy.

Qualifications:

Basic Qualifications:

  • Associate degree in HR, Business Administration, or a related field.
  • 24 years of administrative support or customer service experience, or an equivalent combination of education and experience.
  • Valid drivers license.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong interpersonal and written communication skills with attention to detail.

Preferred Qualifications:

  • Experience with applicant tracking systems (iCIMS preferred).
  • Familiarity with HRIS systems, particularly PeopleSoft.
  • Demonstrated process improvement experience.
