Overview: Gordon-Conwell Theological Seminary is a multi-denominational, protestant graduate school, unique with its broad array of over 1,300 students and 200 faculty/staff from 78 denominations and over 50 countries. It offers a residential model of education at South Hamilton, MA, (main campus); an urban context in Boston, MA; adult educational models in both Charlotte, NC, and Jacksonville, FL; and online and cohort models involving students from around the world. The mission of Gordon-Conwell is to prepare men and women for ministry at home and abroad. Rooted in the gospel and God's Word, the Seminary seeks to develop Christian leaders who are thoughtful, globally aware, spiritually mature, and ready for a broad array of ministries. Position Summary: Under the direct supervision of the Director of Student Financial Services and working closely with the Institutional Financial Aid and Billing Manager, the Student Accounts Receivable Manager serves Gordon-Conwell students pursuing certificates and degrees at the Hamilton, Boston, Charlotte, and Jacksonville campuses as well as the Doctor of Ministry and Hispanic Ministry programs. This position supports the mission of the Seminary by providing excellent customer service as a primary point of contact regarding billing, payments, payment plans, and general inquiries regarding Student Accounts. Key Responsibilities:
- Provide excellent customer service to all student inquiries - in person, emails and phone calls in a timely fashion.
- Monitor all payments to students' accounts through cash, checks, Nelnet, FlyWire and Transact ensuring the TCode, date, and amount are accurate; double check entries by viewing students' ledgers. Serve as the liaison with Nelnet, Transact representatives.
- Work with VA Coordinator to process payments and address issues.
- Ensure that wire payments received by the bank are posted to student accounts. Work with accounting to ensure checks, wire transfers and other exceptions are processed and/or resolved.
- Review and reconcile student credit balance withdraws with General Ledger.
- Post EFTs and bounces adding bookkeeping fee as appropriate.
- Monitor master level aging reports and past due accounts. Post and release all student account holds on past due student accounts.
- Work to collect past due accounts through repeated phone calls, emails, etc.
- Encourage students to establish payment plans and process necessary paperwork within the institutional processes.
- Oversees the entire collection process including sending past due accounts to collections and updating SONIS accordingly.
- Attend admissions events, orientations and cohort orientations as needed.
- Assist with the emailing of statements each month.
- Review credit balances and escheat with accounting.
- Assist with other duties as assigned including the annual audit preparation and distribution of the 1098T forms.
Required Competencies:
- Administrative Support: Must possess strong administrative skills. Must be organized and possess a strong attention to detail with the ability to work independently while managing time well.
- Communication Skills: Must be able to build and maintain relationships within the Student Financial Services team, other departments and students across campuses with strong written and verbal communication skills.
- Technical Knowledge: Experience with Microsoft Excel and Word and have confidence and aptitude to work with and learn new software. Must be able to integrate knowledge and understanding to improve current procedures that facility organizational efficiency.
- Knowledge and Discernment: Must have broad awareness of billing and receivables and the impact on the students. Able to work with students' financial details and maintain the highest levels of confidentiality.
- Cultural Intelligence: Must have a commitment to collegiality, diversity, inclusion, and cultural awareness through actions, interactions, and communication with others.
- Clear Understanding: Must have a clear understanding of the Seminary's mission and the willingness to serve all members of the community while affirming the Community Life Statement at Gordon-Conwell.
Education and Experience:
- Bachelor's degree required.
- 2-3 years of experience working with database systems.
- 1-2 years of experience in higher education preferred.
- Experience with SONIS preferred.
- Familiarity with working within the context of a multi-ethnic Christian higher education community preferred.
