Works closely with academic deans, faculty chairs and continuing education staff to provide registration and student records services and support.Minimum Qualifications
Associate's degree AND three (3) years related work experience to include computer based data entry and customer service.- OR - Five (5) years related work experience to include computer based data entry and customer service.Required Job Knowledge, Skills, AbilitiesKnowledge of general office policies and procedures. Ability to operate general office equipment including document scanners. Proficiency in computer based data entry. Ability to communicate effectively, both verbally and in writing. Ability to relate successfully with students and staff of diverse cultural, social, or educational backgrounds. Ability to use judgment, discretion, and decision making skills in dealing with confidential and sensitive issues. Ability to problem solve by questioning, organizing, researching, analyzing, processing, and interpreting information. Ability to work independently and as a team member; ability to handle multiple tasks and responsibilities; and ability to learn and adhere to College policies and procedures. Maintain current knowledge of federal and internal regulations such as FERPA.Verify enrollment and residency status following established guidelines. Utilize Datatel/Colleague enrollment system to process student registrations for academic, continuing education and contract training type courses. Monitor course wait lists via Datatel/Colleague. Process registrations received electronically via Datatel/Colleague. Perform academic transcript evaluations. Image and prepare academic transcripts requests (via SoftDocs). Maintain current knowledge of College activities and programs; assist with academic records processes such as process grade changes, process courses cancelations, run and distribute edit rosters, process no show cancellations, provide technical support/lab assistance for online registration during arena and related registration events. Review and process forms necessary to process changes such as reinstatements, withdrawals, schedule changes, and grade changes. Assist department chairs/faculty with schedules, class rolls, enrollment in selective admissions programs, transferring course enrollments, and troubleshooting registration problems. Assist with end-of-term processes such as GPA calculation for repeated courses, dual credit grade reporting to ISD's, Charter Schools, Early Colleges. Completion of final graduation audits. Preparation of correspondence for eligible and ineligible graduation candidates. Monitor transcript requests waiting for final grades and/or graduation posting to be included. Preparation and mailing of diplomas and assist with graduation ceremony. Work day, evening and weekend hours as needed to support registration initiatives and special events throughout all College campuses and centers. Additional related duties may be assigned.
