Position Title:Supervisor HR Preboarding - Human ResourcesDepartment:Human ResourcesJob Description:General Description: Reporting to the Human Resources Operations Manager, the Preboarding Supervisor is responsible for the preboarding of all new employees, contingent workers, and students at OU Health, ensuring a seamless, positive, and compliant preboarding experience. Essential Responsibilities:Responsibilities listed in this section are core to the position.   • Evaluates and enhances the OU Health preboarding process for new employees, contingent workers, and students ensuring all new hires have a positive preboarding experience and OU Health is compliant with applicable laws, regulations and accrediting body standards, and alignment with the organization's Mission, Vision and Values.
  • Coordinates and oversees all new hire preboarding activities including new hire paperwork, licensure and certification requirements, background check, drug screen, employee health visit, and employee badge and associated door access.
  • Coordinates and oversees all off-boarding activities for employees, contingent workers, and students.
  • Collaborates across Human Resources and with Hiring Leaders to drive innovation, process improvement, transparent communication, and best practices in how we preboard.
  • Ensures compliance with processes, deadlines, and standards, resolves or escalates issues or concerns, and anticipating the needs of the team and organization as it relates to onboarding.
  • Ensures coordination between preboarding team and talent development team and talent acquisition team in communicating with new hires and hiring leaders regarding start dates and New Employee Orientation (NEO).
  • Creates reports and uses analytics to drive decisions and provide transparent communication to stakeholders.
  • Ensures appropriate automations and integrations for future success.
  • Develops and manages preboarding process documentation and policies.
  • Owns the data integrity of new hire information entered into the HRIS system.
  • Develops and supervises Preboarding Specialists.
  • Analyzes and monitors internal processes and identifies process improvement opportunities.
  • Assists with and/or manages special projects as needed.
  • Manages time for Human Resources Preboarding team and Human Resources Operations team as needed.
General Responsibilities:
  • Performs other duties as assigned.
Minimum Qualifications:Education: Bachelor's degree required. Human Resources or Business degree preferred.Experience: 1 to 3 years progressive leadership experience, including at least 1 or more years in human resources or customer service. 4 or more years of related experience preferred. License(s)/Certification(s)/Registration(s) required: SHRM-CP, SHRM-SCP, or Professional in Human Resources (PHR) required. Six Sigma/Lean Green Belt strongly preferred. Knowledge, Skills and Abilities:
  • Demonstrated track record of developing and implementing efficient, effective, and customer focused processes.
  • Excellent cross-functional partnership experience with high level of credibility and influence with all levels of leaders
  • Proactive mentality to impact change.
  • Highly adaptable and able to work in a very fast paced and changing environment.
  • Experience developing relationships and managing external vendors.
  • Excellent data analysis skills and experience using metrics to implement process improvement.
  • Excellent listening, verbal, phone and written communication skills.
  • Excellent customer service skills.
  • Preferred working knowledge of HRIS systems such as Workday.
  • Strong problem solving skills and detail orientation.
  • Strong knowledge of both federal and state employment laws and how they apply to human resources.
  • Strong understanding of and ability to utilize principles of compliance and auditing.
  • Ability to multi-task and prioritize in a fast paced environment.
  • Ability to work with confidential materials and employee information and maintain confidentiality at all times.
  • Ability to lead by example and mentor others.
