SUMMARY OF THE ROLE

We're looking for a Supervisor, Office Services who has excellent organizational skills and a personable disposition to keep us thriving. The ideal candidate will have a natural flexibility in handling day-to-day routines as well as surprises. The Supervisor, Office Services, will provide strong, reliable support for the Houston Office by creating procedures and communicating companywide, and by working with our HSSE Department in maintaining employees and visitors' safety. This person will also help us achieve organizational efficiency by nurturing a positive, inclusive work environment.

Objectives of this role

* Manage, all activities related to the day-to-day operation of the corporate office including the financial control of budget assigned.

* Oversee visitors to the office and ensure a friendly, personal experience

* Ensure peak operations for the organization and implement preventive measures for potential issues

* Implement policies and procedures, measure outcomes against standards, and improve operational flow

* Coordinate internal and external resources, and cultivate relationships with vendors

* Respond to requests and questions about office operations

KEY RESPONSIBILITIES

* Ensure office efficiency by maintaining common areas, organizing and creating procedures, handling correspondence, and overseeing supplies and equipment.

* Oversee day-to-day office activities as main point of contact in areas such as reception, office and kitchen supplies, work orders with the landlord among other responsibilities.

* Provide direct administrative guidance and support as needed, including scheduling appointments, meetings, and events; booking travel; mailing and shipping packages; and updating contacts database and employee lists.

* Oversee and assure office equipment are set for uninterrupted function, identify needs and acquire supplies, manage vendor relationships, and coordinate food deliveries when requested.

* Manage all aspects of space/infrastructure planning (ex: moves, additions, changes to workstations) and provide answers, resources, and solutions when requested.

* Support the preparation of the Department Budget and administer and control its execution.

* Responsible for the performance and development of the team assigned to the function.

Required skills and qualifications

* Seven or more years of experience in office management or administrative assistant roles.

* Strong time-management and people skills, high degree of flexibility, and excellent prioritization and organizational skills.

* Proficiency with office management or facilities applications, and aptitude for learning new software and systems.

* Advance computer skills (MS Office Suite), and experience with online platforms such as, travel management, ticketing systems, seating administration, others.

* Proficient in budgeting process, audits and purchase and procurement processes.

* Ability to maintain confidentiality of company or employees related to the function information.

* Superior Customer Service skills and attitude.

Preferred skills and qualifications

* Bachelor's degree.

* 5+ years in a supervisory role, managing teams.

* Experience in project management and developing or implementing systems.

* Excellent communication skills at all levels within a corporate environment.

* Bilingual English - Spanish

Work Environment

This position operates in a professional office environment with occasional work within or outside of a complex construction environment. This role routinely uses standard office equipment such as computers, phones, photocopiers/fax, filing cabinets, etc.This is primarily a sedentary role; however, the incumbent must be able to stand and/or sit continuously to perform all essential job functions for a full shift.

Able to meet the following physical demands of the job, with or without reasonable accommodations:

* Ability to lift up to 20 lbs. as required in order to lift files, boxes and office equipment as necessary.

* Ability to lift files, open filing cabinets and bending, standing on a stool, or climbing as necessary to perform these functions.

* While performing the duties of this role, the incumbent may be required to talk or hear.

* The incumbent is required to stand, walk, use hands to handle or feel; and reach with hands and arms.

* Ability to move throughout all areas of each office/site location and facilities.

* Able to wear all necessary PPE equipment to perform job functions.
