GENERAL PURPOSE Initiate, negotiate and monitor the quoting process with internal and external business partners. Support the Specials Team to ensure accuracy in data and databases, as well as ensure policies and procedures are maintained and followed. Ability to solve supply management and fulfillment issues through implementation with limited supervision. ESSENTIAL FUNCTIONS Complete month-end reporting requirements (Options Volume, Cost Savings, etc.). Develop working relationships with members of our internal business partners (Accounting/Finance, Specials Engineering, Material Planning, Commodity Supplier Teams, Customer Quoting Teams) and external supply base. This includes getting to know our external supply base, meeting with their teams and visiting their plants to understand their capabilities. Function in a back-up support role to other members of the team. Act as CMF coordinator between suppliers and specials team maintaining information databases as required. Maintain the Lotus Notes Supplier database (additions/deletions/changes). Participate productively and constructively as a member of cross functional team(s), as required. Provide training to all internal & external business partners who interact with our department. Purchasing Billboard (tech & production quotes) -- Select the appropriate supplier for manual quoting activities, send out quotes, monitor quotes for timing of completion within established targets. and Initiate the follow-up process when quotes go beyond their targeted completion dates. Review all completed quote requests for reasonableness when it comes to cost (as compared to standard), lead time, and requests for supplier tooling. Work with team members to resolve perceived discrepancies, and issue tooling purchase orders as needed. Negotiate with supplier partners to meet customer requested needs and communicate obstacles preventing or slowing sales. Understand the philosophies and tools of Lean Manufacturing and the Herman Miller Production System (HMPS): utilize those tools to improve processes and to solve business problems both internally and externally, with coaching. Utilize the MySign Additional Cost Order (ACO) process to resolve supplier cost issues related to incidental charges for set-ups, freight, expediting, etc. Work with Accounting, Purchasing and Finance to resolve supplier related invoicing/pricing issues. Supply Management and core fulfillment responsibilities (currently includes Herman Miller and Knoll Brands, but could possibly extend to other brands as the needs of the business change). Work with internal and external business partners to resolve all issues related to getting supplier quotes done on time. This includes sending out drawings/CAD data, clarifying the inclusion and/or exclusion of critical data elements on drawings, completing ECO's in a timely manner, and submitting PRD's (Problem Resolution Database) to Engineering to drive drawing maintenance. Potential for overnight supplier travel with or without other team members (typically 5% or less) Performs additional responsibilities as requested to achieve business objectives. Education/Experience Bachelor's Degree in a Business-related curriculum, Information Systems curriculum, or related curriculum; or an equivalent combination of education and experience. Preferred 1 2 years of professional experience in a related role, preferably associated with a Purchasing function. Skills and Abilities Customer focused approach (HMPS philosophy of Customer First). Solid investigation and research skills, including the ability to determine the root cause of problems and to present and implement solutions. Demonstrated problem solving capabilities (including the use of HMPS tools). Ability to initiate conversations with internal and external business partners and to build on those conversations to develop solid working relationships. Strong technical aptitude in Business Information Systems or related field or equivalent learning/experience. Able to adapt to changing software requirements and conflicting sources of information. Ability to manage and foresee manual data errors and to help train others to avoid these errors while avoiding conflict. Accuracy and attention to detail are paramount. Able to work independently. Demonstrated ability to use MillerKnoll's software and office automation tools (Word, Excel, PowerPoint, Lotus Notes, ETQ, Outlook, etc.) to support workplace needs and effectively communicate with internal and external business partners. Demonstrated skill in detailed documentation standards preferred. Willingness to negotiate and/or facilitate conversations with external partners on items such as price, and product timing.
