Job Summary:
The Clinical Supply Chain Coordinator is responsible for managing the procurement, organization, and distribution of clinical supplies, durable medical equipment (DME), and facility inventory. This role ensures that patient care areas are fully stocked with necessary supplies and equipment, maintains accurate records, and communicates effectively with clinical and supply staff to meet the needs of the facility. Additionally, the Clinical Supply Chain Coordinator is responsible for the improvement of processes and procedures, developing and maintaining key metrics, and tracking expenditures of supply procurement while aligning with departmental and company-wide goals.
Key Responsibilities:
1. Patient Supply Management
- Maintain up-to-date supply sheets for each patient, ensuring accuracy and completeness.
- Fill out monthly supply spreadsheets and fax them to SHC.
- Order additional patient supplies via phone or email for items not covered by SHC.
- Unbox, organize, and communicate received supplies to relevant staff members.
- Verify the accuracy of received supplies against shipping invoices and manifests.
- Develop and maintain PAR level standards based on the needs of the facility.
2. Durable Medical Equipment (DME) Management
- Track and maintain records of DME assigned to each patient.
- Receive, review, and archive DME invoices.
- Conduct regular audits of patient DME to ensure proper maintenance and availability.
- Assist in the procurement and replacement of patient DME as needed.
- Conduct regular supply checks and maintain records of supply levels.
- Monitor Microsoft Teams channels to identify and order house supplies and other staff needs.
- Communicate supply levels between supply personnel and clinical staff to ensure availability.
- Courier urgently needed items between facilities as required.
3. Facility Supply Management
- Conduct regular supply checks and maintain records of supply levels.
- Monitor Microsoft Teams channels to identify and order house supplies and other staff needs.
- Communicate supply levels between supply personnel and clinical staff to ensure availability.
- Courier urgently needed items between facilities as required.
- Order supplies via Amazon Business and other vendors, ensuring timely delivery.
- Unbox, organize, and communicate received supplies to relevant staff members.
- Verify the accuracy of received supplies against shipping invoices and manifests.
- Develop and maintain PAR level standards based on facility needs.
4. Administrative
- Responsible for continuously reducing per-patient supply costs while maintaining or improving supply quality.
- Responsible for vendor management, including vendor selection, onboarding, and maintenance.
- Maintain spend metrics for all purchased goods including consumable house and patient supplies, and non-consumables.
- Work with Accounting to simplify vendor payment.
Qualifications:
- Bachelors degree in supply chain management, Business Administration or equivalent is required; additional education or certification in supply chain management, logistics, or a related field is a plus.
- Previous experience in supply management required, preferably within a clinical or healthcare setting.
- Minimum 3 years of experience in coordinating or managing process or management experience required.
- Strong organizational skills and attention to detail
- Proficient in Microsoft Office Suite, particularly Excel and Teams.
- Ability to communicate effectively with staff and vendors at all levels.
- Physical ability to lift and move supplies as needed.
Working Conditions:
- This position may require frequent movement including but not limited to standing, walking, lifting, climbing, stooping, bending, carrying, and handling packages/supplies up to 50lbs
- Some travel will be required.
- Work hours may vary based on facility needs.
Compensation details: 65000-70000 Yearly Salary
