Job SummaryProvides administrative support work in assisting district administrators in planning, coordinating, monitoring, and facilitating administrative actions and processes. Additional Duties required:
  • Knowledge of Athletic Eligibility for middle and high school students
  • Knowledge of FHSAA rules and Middle School Athletic Conference regulations
  • Knowledge of Arbiter assigning system for officials and ArbiterPay (payment for officials)
  • Administer and grade coaches certification exams for 300+ individuals each year
  • Prepare and post Middle School Schedules (25 schools & 12-13 sports)
  • Format Schedules and submit for upload to Aktivate (eligibility system)
  • Research & Maintain Score Reporting Data Weekly (2,000+ contests)
  • Research & Maintain Athlete Roster Data Quarterly
  • Prepare invoices & submit fines if needed for non-score reporting, eligibility
  • Issues and unsportsmanlike conducts from officials, by coaches, student-athletes and fans
  • Create Annual Invoices for Conference Membership Dues
  • Submit Conference Budget each year
  • Analyze Monthly Conference Accounts and Prepare & Maintain Outstanding Debt Spreadsheet
  • Prepare and submit requisitions for Conference expenses
  • Coordinate with Internal Auditing creating Conference Championship Accounts
  • Communicate & Assist Bookkeepers with Championship Financial Forms, Reimbursements & Transportation vouchers
  • Maintain Gateway & Middle School Conference Events
  • Assist Chairpersons with Conference Playoff & Championship Games
  • Communicate with Field Lining Crew, Officials, Transportation, Emergency Management Staff & Security regarding Championship Games
  • Coordinate with Conference Chairperson's to order All Conference Awards, prepare Letters and Certificates for all conference student-athletes
  • Maintain minutes for all athletic director meetings via OneNote
Essential Functions1. Researches and compiles data, and prepares reports and correspondence.2. Organizes and tracks the status of legislation, application or case record processing, responding to complaints, and/or resolving work related problems.3. Recommends, coordinates, and implements administrative practices and procedures to facilitate work processes and accomplish unit activities.4. Interprets laws, rules, regulations, policies, for the purpose of answering inquiries, resolving complaints, or to resolve work related problems.5. Prepares correspondence relating to administrative activities for the purpose of presenting information, or resolving complaints or work related problems.6. Maintains administrative records and files.7. Attends meetings to provide or clarify information, facilitate processes, or resolve problems.8. Performs other duties as assigned.Probation: Six (6) monthsQualificationsOpen requirements: Four (4) year combination of education, training, and experience in administrative work or related area. Promotional requirements: NALicensing: Depending upon assignment, a valid Florida Driver's License may be required prior to appointment and must be maintained during employment in this class.Knowledge, Skills, and Abilities
