Overview:

The Property Administrator reports to the Property Manager, Senior Property Manager or General Manager and provides a variety of clerical and administrative support services to the Property Management Team. The individual in this position works closely under the direction of the Property Manager, Senior Property Manager or General Manager and the duties and responsibilities may include greeting visitors and office guest at the front lobby desk, maintain professional appearance of front office and conference rooms, assist with answering phones and creating and following up on work orders, perform special projects requests, and assist with building certification application and/or renewal process. The individual will also provide Class A customer service and event programming to promote a community centric environment at the property for all internal (staff) and external (tenants and visitors) customers.

The base salary is aligned with market data and is estimated between $46,000 to $57,000 with the ability to achieve additional compensation through bonus. This salary range reflects base compensation for the position across all US locations. Within this range, individual pay is determined by work location and other factors including relevant education/training, experience, and internal equity.

Responsibilities:

Customer Experience Management

  • Create monthly newsletter that offers exclusive deals and activities for tenants which aims to provide a vibrant work lifestyle.
  • Responsible for overseeing the operations of the conference center, outdoor plazas/terrace areas, and all amenities at the property including reservations, cleaning/ maintenance, supplies, and technology (phones, monitors, video conferencing, etc.)
  • Implement and maintain technology apps and website to ensure all content is updated, engaging, and informative to enhance the customers experience at the property.
  • Responsible for ordering and delivery of tenant move-in, anniversary, holiday gifts, thank you and apology gifts.
  • Responsible for ordering and placement of all customer facing signage promoting special events.
  • Organize special events, tenant relations communications, and event coordination.
  • Coordinate event schedule with General Manager/Property Manager.
  • Update propertys TV monitors, elevators screens, and signages to enhance tenant communication and experience.
  • Manage relationship with marketing vendors and reach out to businesses and organizations across the city for exclusive partnership and offerings.
  • Coordinate the development, production, and distribution of print and digital collateral materials.
  • Maintain and update the property website on a consistent basis to ensure all information is current.
  • Develop and recommend marketing budgets and initiatives.

Internal Staff Interaction

  • Participate in staff meetings and interact with other team members in a manner to promote maximum results and efficiency.
  • Treat all staff, co-workers, tenants, and other customers in a courteous, respectful, and professional manner.
  • Must be a team player, willing to learn new functions and assist others as needed.
  • Responsible for oversight of building staff uniform program: new orders, replacements, tailoring, dry-cleaning, organization, and review of invoicing for accuracy.
  • Responsible for staff recognition and employee of the quarter programming.
Qualifications:
  • Bachelors degree, preferably in business, real estate, marketing
  • Candidate will possess a minimum of three years related experience
  • Proficient in Microsoft Word, Excel, Access, PowerPoint, Outlook, Adobe Acrobat, Illustrator and Photoshop
  • Ability to express ideas clearly in written and verbal communications
  • Strong organizational skills and detail oriented
  • Strong interpersonal skills. Must be diplomatic with tenants, vendors and customers and be able to cope with difficult situations.
  • Professional manner and appearance with positive attitude and strong initiative.
  • Proven record of providing excellent internal and external customer service
