Distinguishing Features: This classification is responsible for overseeing and managing group sales and events promotion for a Tennessee State Parks hospitality operation. This includes working with clients to ensure their group or event needs are fulfilled, coordinating group reservations, contract creation, a creating banquet event orders that capture the needs of the client vents coordination, file management related to sales and events, and customer service.Responsibilities
Responsible for oversight in the direction and coordination of the daily group related activities. This includes but is not limited to working with group contacts prior to the event to ensure all details of their event are captured, communicated and properly planned to ensure group events run smoothly. Promotes sales and marketing items to increase guest awareness of opportunities and promotions. Work with the Group Sales Manager to assist group customers throughout the sales and events process. Assist in the creation of Group Sales contracts to identify and fulfill customer needs. Maintain local area knowledge to guide and coordinate group customers on recreational opportunities near the Tennessee State Park. Acts as a liaison between group customers and hospitality leadership and staff to ensure the individualized needs of the group customers are addressed and met. Completes and routes Banquet Event Order (BEO) paperwork listing banquet and catering needs to appropriate department heads.Conducts property site tours to prospective clients to display the facilities and amenities available for events.Greet guests, potential clients, and established clients in a friendly, professional manner making sure their needs are met. Periodically contacts clients while in-house to be certain all is in order and going well. Handle any last-minute needs as they arise, ensuring the guest is accommodated while being charged appropriately. Manages contract requirements for all room blocks, supervises the block in HMS, and tracks advance deposits, rooming lists, group resumes, automatic release dates, and cut off dates to ensure client compliance.Create and maintain all sales files, catering files, and trace files. Retrieves and properly distributes all trace files daily, notes whether they are followed up on and refiles them properly.Notate and track the sales process for potential group customers. Follow-up with group customers regularly to promote and secure business.Oversees, manages and tracks the group reservation and booking process. This includes the pick-up of group room blocks, adherence to cut-off dates, and any subsequent adjustments to room blocks (positive or negative).
