Position Overview:

The TMS Coordinator & Technician works under the supervision of a physician to deliver high-quality patient care, combining clinical expertise with administrative responsibilities. This role is vital in ensuring a smooth, safe, and positive experience for patients undergoing TMS therapy, from initial consultations to the completion of treatment.

Key Responsibilities:

TMS Treatment & Patient Care:

  • Administer TMS treatments using state-of-the-art equipment, ensuring adherence to established protocols.
  • Monitor and address patient comfort and safety during sessions, mitigating side effects as necessary.
  • Educate patients and their families about TMS therapy, answering questions and addressing concerns.
  • Perform intake assessments, including administering standardized psychiatric questionnaires to evaluate symptoms.
  • Document daily treatment notes in electronic health records (EHR) and ensure all patient files are accurate, complete, and up-to-date.
  • Communicate patient progress and any concerns during weekly rounds and treatment team meetings.

Administrative Functions:

  • Manage patient intake processes, including collecting required documentation and entering information into the system.
  • Schedule and coordinate patient appointments, including follow-ups and maintenance sessions.
  • Serve as the primary point of contact for patients, addressing general inquiries, service questions, and billing concerns.
  • Process referrals and collaborate with insurance companies on prior authorizations and documentation needs.
  • Maintain accurate financial records, process payments, and assist with patient billing account issues.

Equipment Management & Collaboration:

  • Assist in maintaining and calibrating TMS equipment, ensuring optimal functionality and safety.
  • Coordinate with the Lead TMS Technician and TMS Coordinator on equipment quality control and necessary repairs.
  • Stay informed about advancements in TMS technology and participate in professional training and development.
  • Support clinical research initiatives by collecting data and contributing to the ongoing improvement of TMS services.

Patient Advocacy & Support:

  • Provide a welcoming, empathetic environment for patients, ensuring they feel supported throughout their treatment journey.
  • Advocate for patient needs and coordinate care with other healthcare team members.

Qualifications:

Education:

  • Bachelor's Degree preferred.

Experience:

  • Previous TMS experience required.
  • Additional experience in a healthcare setting, mental health services, or medical office preferred.
  • Familiarity with basic medical terminology, EHR systems, and clinical documentation is required.

Skills:

  • Exceptional interpersonal and communication skills to effectively interact with patients, families, and healthcare professionals.
  • Ability to prioritize tasks, manage multiple responsibilities, and maintain attention to detail in a fast-paced environment.
  • Proficiency in taking vital signs, managing patient flow, and documenting medical information accurately.
  • Competence in handling basic administrative duties, such as scheduling, billing, and processing insurance paperwork.
