Job Summary:

As a Vendor Management Specialist at T3 Expo, you will be responsible for and own the process for procuring goods and services, either for resale or for the company's own use. You will work in support of our Product and Operations team and act as the liaison between T3 Expo and its suppliers that support products we offer to our clientele and are critical components to T3 designed products. Will also need to demonstrate the ability to manage through influence using your expertise, and relationships to guide and inspire others through this cross functional role.

Key Responsibilities:

Vendor sourcing and procurement.

  • Finding suitable vendors that meet our regional and national product requirements.

Reducing risk:

  • Identifying and managing any potential risks associated with vendors
  • Facilitates inherent risk assessment w/ Business Owners.
  • Manages the due diligence process, including the collection and analysis of questionnaires and source documents.
  • Identifies residual risks requiring remediation, and prepares risk remediation strategies for senior management.

Vendor Onboarding:

  • Working with our Organizational Effectiveness and Legal Operations team and suppliers to facilitate contracts, payment terms, pricing, and covenants.
  • Facilitates contract execution by authorized contract signers, and ensures internal stakeholders and the vendor receive final copies.
  • Monitors contract renewals and notifies contract owners.

Managing performance:

  • Monitoring how well vendors are meeting their obligations
  • Conduct regular performance reviews with vendors to assess performance against contractual obligations using score carding
  • Establish key performance indicators (KPIs) to measure vendor performance
  • Monitor vendor performance against agreed-upon service level agreements (SLAs)

Building relationships:

  • Fostering positive working relationships with vendors

Strategic planning:

  • Developing strategies to optimize vendor relationships and ensure the company is getting the best value
  • Production cycle oversight.
  • Along with Production Managers, establish equipment sourcing needs and formulate detailed plans for purchases to present to Executive Leadership.
  • Develop Vendor management strategies in line with organization vision & mission towards sustainable procurement (Environment, Economy & Society)

Documenting:

  • Keeping accurate records of vendor activities

Resolving issues:

  • Addressing any problems that arise with vendors and when necessary escalate any resolve issues with the Director of Product.

Communicating:

  • Interacting effectively with vendors, customers, and stakeholders
  • Implement corrective action plans for underperforming vendors
  • Training and management of new and established employees.
  • Communication and execution with vendors and stakeholders.
  • Establish new and retired products, changes, etc. while making sure all parties are aligned and informed of the product inventory

Order processing:

  • Ensuring all direct buy orders are being communicated, accepted and processed by our vendors to ensure a smooth delivery of these products.

Financials:

  • Reconciling vendor invoices.

Strong verbal, written and comprehension skills. Skills knowledge and aptitudes may include your ability to provide information effectively, make presentations, or communicate with clients.

Your ability to maintain schedules, and meet deadlines is critical, particularly in a multitasking workplace environment in which our team is often required to manage multiple roles with different priorities and timeframes.

DECISION MAKING SKILLS

Ability to make clear, concise decisions and solve complex problems.

ESTABLISHING AND MAINTAINING INTERPERSONAL RELATIONSHIPS

Establishing and maintaining an excellent relationship with the customer, vendors and cross-functional internal teams is critical to the success of this position.

Adaptability to manage change, deal with situations as they arise, and work independently or as part of a team.

Ability to work in a team of people from various experience levels and strive to a common goal.

ORGANIZATIONAL SKILLS

Ability to organize, plan and prioritize work in a fast-paced work environment. Ability to achieve goals in a timely fashion.

PROFESSIONALISM

In many cases, you will be the first line of communication with our esteemed customer base. You are expected to reflect and convey the T3 Client centric philosophy in any communication, including in person, by phone, email, etc.

ANALYTICAL SKILLS

Ability to compare, contrast and quality check work and keen attention to detail. Can present numerical data orally and in writing or through graphics.

PROBLEM SOLVING SKILLS

Proficient in identifying the challenge/opportunity, establishing solutions, implementing those solutions, and evaluating their effectiveness.

EDUCATION AND EXPERIENCE

  • Bachelor's degree.
  • Minimum of five years of experience in Vendor Management and Procurement, working experience in Vendor Management function.

TECHNICAL SKILLS

  • Proficient in Google Drive including Docs, Sheets, Chat, and Meet.
  • Microsoft Office including Word, PowerPoint, especially spreadsheets, database, and reporting tools.
  • Ability to navigate Box as the primary cloud storage platform.
  • Salesforce
  • Comfortable with project management tools (e.g., Airtable, etc ) and data analysis tools (e.g., Excel, Google Analytics,etc,).
  • Knowledge of process mapping tools (e.g., Lucidchart, etc. )

  • Proven ability to manage multiple projects and meet deadlines in a fast-paced environment.
