Woodruff Arts Center employees play an integral role in creating and supporting great art and education initiatives at the nation's third largest arts center. Comprised of three Art Partners-Alliance Theatre, Atlanta Symphony Orchestra and High Museum of Art-there's a role for everyone at The Woodruff.Reports to:Event Operations ManagerFLSA:United States of America (Non-Exempt)Employment Status:Regular/Part timeThis role is responsible for coordinating and executing events at the Woodruff Arts Center, ensuring successful and seamless event operations. The ideal candidate will have a proven track record of working collaboratively with clients and vendors and will report to the Senior Operations Manager of the Woodruff Arts Center Events Team.WORK SCHEDULEThe work schedule will vary depending on event rentals, and flexibility is essential. This role requires availability for nights, weekends, and holidays as needed.Essential Duties and Responsibilities
  • Act as the on-site main point of contact for events held at the Woodruff Arts Center.
  • Coordinate event logistics, including setup and breakdown, vendor management, catering, A/V equipment, and parking arrangements.
  • Collaborate with Woodruff Arts Center staff and security to prepare event spaces that meet client needs and expectations.
  • Communicate event details, timelines, and requirements to clients, vendors, and staff to ensure smooth event execution.
  • Ensure all parties involved understand and adhere to the Woodruff Arts Center's polices and procedures.
  • Attend events to oversee proper execution, manage logistics, and resolve any issues that may arise.
  • Complete post-event summary reports detailing event success, feedback, and areas for improvement.
  • Perform other related duties as assigned by the Events Department.

  • A bachelor's degree in Event Management, Hospitality, Business, or a related field is preferred. Relevant experience in lieu of formal education will be considered.
  • Minimum of 1-2 years of experience in event coordination or operations, preferably in a cultural institution, performing arts venue, or similar field.
Skills and Abilities:
  • Excellent attention to detail and the ability to manage multiple tasks and deadlines.
  • Strong interpersonal and communication skills, with the ability to work effectively with clients, vendors, and internal teams.
  • Familiarity with event planning tools and software is a plus (experience with Reserve or similar software preferred).
  • Ability to work independently and as part of a team in a fast-paced, high-pressure environment.
  • Flexibility to work varying hours, including evenings, weekends, and holidays as required for event support.
