Summary

The Venue Logistics Lead for Metro Events assists with overseeing logistics and operations of special events in San Francisco for all Metro Event venues. This position will be a highly involved team member in facilitating events from start to finish, (post contract) interfacing with potential and existing clients and vendors, providing customized solutions and overseeing the planning and execution of all areas of each event. The position will liaise with the Operations and Sales Support Manager and the Senior Sales and Marketing Manager, as well as the Terminal Manager to ensure a smooth transition from events to cruise operations. Additionally, the position will be responsible for coordinating all required permits and interface with the client, vendors, Government Agencies and the Port of San Francisco.

Primary Responsibilities

  • Ensure ME (Metro Events) policies and procedures are communicated and adhered to by vendors and clients.
  • Prepare pre and post event documents such as security dot maps, vendor and venue manager schedules, event manifests, good neighbor notifications and damage reports.
  • Work onsite as primary venue manager lead during all events (to coordinate with clients, vendors and terminal staff).
  • Liaise with Director of Event Services and Terminal Manager to ensure the venues are event ready and cruise ready both pre- and post-event. Coordinate and work with staff and vendors such as, janitorial, security, wifi, and debris services for event staffing needs.
  • Communicate and follow up with potential event clients.
  • Conduct site visits of the venue in conjunction with other event staff.
  • Assist with training of new operation staff along with the Director of Event Services.
  • Update the Metro Events calendar so it aligns with the cruise schedule.
  • Will not engage in any outside activities deemed to be a conflict of interest by Metro Event.
  • Must be willing and available to work early mornings, evenings, weekends, and holidays as needed for events.
  • Must be available to be on site during event rental hours and additional hours, as needed.
Requirements:

Knowledge/ Experience:

  • Associate's degree or higher preferred with a focus in Business Administration, Communications, or Marketing.
  • Minimum of 5 years working experience in events and meeting industry working directly in operations, event venue management a plus.
  • Must be able to travel between San Francisco and Oakland.
  • Excellent computer proficiency (MS Office – Word, Excel and Outlook, CRM knowledge).
  • Knowledge of special events operations.
  • Must be able to work under pressure and meet deadlines, while maintaining a positive attitude and providing exemplary customer service.
  • Excellent interpersonal and communication skills.
  • Must be able to lift 40 lbs.
  • Valid driver's license.
