Position Summary: The primary objective of the Volunteer Coordinator of Easterseals South Florida is to coordinate the overall volunteer program in Broward and Miami Dade county including but not limited to the recruitment and training of volunteers for special events, food drives, respite services, and other support activities. The incumbent in this position must demonstrate sensitivity to diverse populations with the ability to serve people in a compassionate, patient, friendly, and courteous manner, showing sincere interest in peoples concerns.

Responsibilities:

  • Assists the Agency in developing and implementing programs that promote a sense of community including but not limited to the Legacy Corps for Veterans and Military Families.
  • Participate in community outreach activities to promote Legacy Corps for Veterans and Military program and volunteer opportunities.
  • Organize and develop community partnerships to assist in meeting program goals and build collaboration for program sustainability.
  • Maintain an up-to-date schedule of all Easterseals South Florida volunteer opportunities, recruitment efforts and opportunities, such as recruitment fairs, requests from groups for speakers, web sites, public service announcements, etc.
  • Provide Easterseals South Florida representation for all such opportunities, seeking assistance from other staff or volunteers when necessary and advertising internally to those departments who require special volunteer talent.
  • Serve as the point of contact for multiple volunteer groups in any given week: both volunteers currently on site and those registering for weeks or months.
  • Work in conjunction with assigned staff to prepare volunteer recruitment materials and disseminate information about volunteer opportunities through all appropriate media, such as the web site and e-mail groups.
  • Respond to requests, in a timely manner, for volunteer information and help identify resources that may be useful for volunteer recruitment.
  • Recruit, train, and retain volunteers including AmeriCorps members.
  • Determine volunteer eligibility and maintain appropriate volunteer files in compliance with rules and regulations (i.e., background checks, references, etc.).
  • Coordinate intake of volunteers including the completion of registration forms, training, and orientation.
  • Coordinate monthly meetings, reflective sessions, and recognition events for AmeriCorps members and other volunteers.
  • Develop and ensure all volunteers complete the required training on a regular basis.
  • Provide field oversight and evaluation of Legacy Corps members to ensure that members are performing service activities according to their contracts.
  • Prepare a monthly newsletter with program highlights.
  • Complete and submit monthly reports to the finance department and funders in a timely manner.
  • Maintain an up-to-date database of all prospective and actual volunteers, as well as records of all volunteer activities performed.
  • Design and implement appropriate ways to thank, recognize and honor volunteers for their efforts.
  • Ensure appropriate staff members are introduced to the volunteer group, pictures are taken, and all opportunities for involvement with Easterseals South Florida are conveyed to the volunteers.
  • Promote the mission of Easterseals South Florida and engage volunteers to ensure their ongoing support.
  • Use of volunteer management software including egrants and Oncorps, etc.
  • Assist the Vice President of Adult Day Services as needed.
  • Other related duties as necessary to ensure the smooth running and efficiency of the ADC program and Easter Seals South Florida as a whole.
  • Facilitate the involvement and ensure the safety of all staff, volunteers, visitors, and individuals receiving services at Easter Seals.
  • Act in compliance with Medical and Non-Medical Emergency Procedures.
  • Assist individuals in evacuating the building during emergency situations to include but not limited to fire drills and external disaster drills. Specific duties to be assigned by immediate supervisor.
  • Assume assigned responsibility for non-clinical duties during disaster and/or drills including but not limited to safety of files/office areas, closure of doors.
  • Minimum Requirements:

  • Bachelor's Degree preferred. High School Diploma required.
  • Minimum of one year of volunteer coordination with customer service/relationship management and supervisory experience.
  • Bilingual (English/Spanish) required.
  • Possession of valid Florida driver's license required.
  • Same day travel within South Florida for meetings, conferences, and special events using personal vehicle is required.
  • Occasional overnight, out of town travel for meetings and conferences is required.
  • Strong computer skills: Word, Excel, Publisher, PowerPoint, and other database proficiency.
  • Strong communication skills, with the ability to speak publicly and write well.
  • Ability to manage time efficiently, while under pressure in a fast-paced environment with multiple responsibilities without constant supervision.
  • Attention to detail, accuracy, and deadlines.
  • Ability to exercise good judgment and discretion.
  • Flexibility to work after regular business hours and the ability to work as a member of a team on several projects simultaneously.
