In this role, the After-Sales Coordinator will verify shipping schedules and book applicable lanes for all vehicles, chassis, and interior kits sold. The coordinator will track and record all warranty claims, including relevant customer information, vehicle details, parts identification, and claim status. The coordinator will also communicate with production and/or sales when issues arise. The role will work closely with the sales team, administration, and department management.Reports ToClient Experience ManagerAbout Your Role
- Serve as the primary liaison between the Sales Department, Production, and external carriers to ensure seamless vehicle shipments and efficient warranty claim management.
- Coordinate and verify shipping schedules, ensuring all vehicles are prepared and loaded out on time for delivery to customers and event staff.
- Maintain accurate and up-to-date records of warranty claims, including customer information, vehicle details, parts identification, and claim status.
- Communicate with customers regarding their delivery options and provide timely updates on the status of their vehicles and warranty claims.
- Analyze warranty claim trends and costs, providing insights and reports to management for informed decision-making.
- Work closely with the quality control team to identify recurring part defects and implement corrective actions to improve product reliability.
- Negotiate shipping rates with carriers and freight forwarders to minimize costs while maintaining high service standards.
- Continuously evaluate and enhance shipping processes to improve efficiency, reduce costs, and streamline operations.
Duties and Responsibilities
- Schedule, coordinate, and release vehicles/chassis to transport for shipping to ensure all vehicles are loaded at coordinated pick up times to include after-hours pick-ups.
- Track vehicle completion deadlines; communicate completion delays with CRO, Director of Customer Experience, and stay informed of vehicle locations within the shop.
- Coordinate media updates to customers on a weekly basis for all in-production vehicles.
- Maintain accurate records of warranty claims, including relevant customer information, vehicle details, parts identification, and claim status.
- Find, communicate, monitor, and oversee relationships with third party repair shops before and during the warranty process.
- Collaborate with technicians or engineers to assess the validity of warranty claims and identify potential defects or recurring issues in vehicle parts.
- Prepare regular reports on warranty claim trends, issues, and resolution status for management review.
- Collaborate with the quality control team to identify recurring part defects and implement corrective actions to improve product reliability.
- Analyze warranty claim costs and trends, providing insights to management for budgeting and decision-making purposes.
- Coordinate with internal departments such as procurement, production, and sales to ensure smooth and efficient parts flow throughout the supply chain.
- Handle any issues or discrepancies related to shipments, such as damaged parts, missing items, or delivery delays, and work to resolve them promptly.
- Communicate with carriers and freight forwarders to arrange transportation and negotiate shipping rates to minimize costs.
- Continuously evaluate and improve shipping processes to enhance efficiency, reduce costs, and streamline operations.

Education and Experience:
- High School diploma or equivalent
- Previous experience in a logistics role
- Experience working with a CRM and project-management software.
- QuickBooks knowledge is preferred
Physical Demands (to include but not limited to)
- Must be able to lift, carry, and place merchandise and supplies up to 50 pounds without assistance.
- Wear required Personal Protection Equipment.
- Must be physically able to operate a variety of equipment including computer, office equipment, telephone, etc.
- Frequent standing and walking for long periods of time.
- Must be able to navigate through various departments of the organization's physical premises.
- Frequent reaching overhead and below the knees, including squatting, bending, stooping, kneeling, and twisting.
- Ability to work in hot or cold temperatures for long periods of time.
- Safely operate a motor vehicle.
