Job description Overview for Wholesale Coordinator:
The wholesale coordinator is responsible for managing the day-to-day operations of a the global wholesale team, including processing orders, tracking inventory, communicating with wholesale customers, coordinating sample shipments, and ensuring timely delivery of products to retail partners, while working closely with the sales team to achieve sales goals and maintain positive customer relationships; essentially acting as the central point of contact for all wholesale order fulfillment activities.
Key responsibilities:
- Coordination of NY and Paris market set up. Manage appointment booking and market calendar and assist in appointments
- Prepare market materials including linesheets, accounts reports, swatchbooks
- Organise asset shoot
- Manage JOOR platform (data upload, maintenance and order entry)
- Checking and sending order confirmations. Liaising with Production, Accounts and Logistics teams regarding all client order requirements, and ensure all communication on invoicing, payment terms and delivery schedules is clear and up to date.
- Manage and track complete sample collections (RTW, FTW+ ACC) by liaising across all departments for showroom set up, VM and sample shots
- Assist with carnet/collection preparation for travel and check in upon return to NYC
- Support in hiring and managing interns
Account Management
- Work with Account Managers to ensure stores visual needs and press/marketing materials are met –send buy layouts, training packs, styling guides, etc.
- Run the weekly selling and shipping reports
- Manage JOOR updates as needed to assist AE's
- Support Sales and Logistics Team in stock movement related to reorders, swaps, transfers, etc.
- Support Sales Team with A/R related consolidations
Customer Service
- Responsible for liaising with International Agents and Sales Team to oversee customer service functions.
- Manage RTV's and assist with Customer Service functions for wholesale department.
- Coordinate and support logistics and executions for Sales department needs
Sample Management
- Responsible for liaising with PR/Marketing/Ecommerce/Production teams to reserve samples.
- Manage interns to process all sample reservations & return samples accordingly
Ideal candidate:
- An undergraduate degree in Business or equivalent
- Minimum 1 year relevant experience in retail or wholesale support roles preferred.
- Experience and/or keen interest of the fashion industry.
- Business and results driven individual, with an ability to work under pressure and meet strict deadlines.
- Detail oriented, and highly organized with an ability to effectively priorities workload.
- Team player who thrives in a team where work is a collaborative effort among many.
- Ability to learn and utilize new software quickly and effectively
- Microsoft Excel proficiency and analytical skills are a requirement. Required knowledge of excel formulas, pivot tables, vlookups, etc.
