This is a dual role that combines yacht management responsibilities with administrative support for our management team, making it ideal for someone looking to grow in the luxury maritime industry.Key Responsibilities:
- Assist in the day-to-day operations of managed yachts, including coordination of maintenance, refueling, dockage, customs, flag state and class, and crew management.
- Communicate regularly with yacht owners, captains, and crew to ensure smooth operations and address any concerns.
- Assist with scheduling regular inspections, safety checks, and maintenance to ensure compliance with maritime regulations and standards.
- Support the management team in handling logistics for yachts trips, and owner requests.
- Maintain detailed records of yacht crew, paperwork, invoices, service histories, inventories and more.
- Provide administrative assistance to the management team, including handling phone calls, emails, and scheduling meetings.
- Assist with preparing reports, presentations, and client correspondence.
- Manage and organize documents related to yacht registrations, insurance policies, contracts, and invoices.
- Support the team with billing, invoicing, and tracking expenses related to yacht management operations.
- Help coordinate travel arrangements, including flights, accommodation, and transportation for crew and yacht-related personnel.
- Keep track of yacht-related deadlines, including licensing renewals, inspections, and documentation updates.
- Other duties as assigned.
Qualifications & Skills:
- Bachelor's degree in business administration, maritime studies, or a related field (preferred but not required).
- Previous experience in the maritime or luxury hospitality industry is a plus.
- Strong organizational and multitasking skills, with attention to detail.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, PowerPoint) and basicadministrative tools.
- Ability to work independently and as part of a team.
- Strong problem-solving skills and a customer-focused attitude.
- Knowledge of yacht management software or systems is a plus.
- Willingness to learn and grow in a fast-paced, high-demand environment.
