The **Customer Service Representative** works in a team office environment and is responsible for managing customer requests via email, answering the Parts Phone with a customer-friendly focus, assisting customers to identify the required part, taking parts orders, and processing parts orders. Have an investigative and technical mindset to find the correct part by inspecting engineering mechanical drawings.

The Parts Team works together in identifying the correct part for the customer's equipment, relying strongly on good computer skills and multitasking ability. Most of your time will be working independently solving customer problems but in a team environment.

Additional responsibilities include freight billing & quotes, researching parts, assisting with expediting shipments, filing, development of RMAs, and Georgia order transfers.

**Specific Duties:**

* Assist customers via email and phone, to resolve Parts questions, pricing, availability, and order processing. Enter daily parts orders into the Avante computer system.

* Research and identify parts needed by inspecting Engineering Drawings.

* Communicate efficiently with Engineers as needed to order parts to be machined.

* Process all billing corrections, invoice revisions, and parts order freight in a timely fashion.

* Set up new customer accounts and work with the customer and accounting in acquiring and recording all required sales tax exemption forms.

* Maintain Parts sales order spreadsheets, recording weekly parts & retrofit sales/bookings, and weekly and monthly Representative sales and oversees daily sales order entry by other Parts Staff.

* Process Smith & Loveless Georgia office orders for shipments, and prepare transfer orders for Smith & Loveless Georgia stock requirements.

* Process Parts Department RMAs (customer parts returns) by preparing paperwork to send to the customer and issuing the credit memo when parts have been returned.

* Research job files for Parts price quotes, work with multiple departments to properly identify the most appropriate parts.

* Responsible for working in a team environment to manage customer requests.

* Backup for other Parts Department personnel as required.

****Job Requirements -** Candidate should have the following background:**

* Proven Customer Service Skills. Has the ability to take care of customers and fulfill their needs. Ability to make them feel important and extremely happy about our brand.

* **Strong MS Outlook Experience** . Must be very proficient with Microsoft Outlook and comfortable with other MS Office applications. Have a keen ability to optimize and use Outlook with great efficiency.

* Possess a strong, investigative mindset. Has the ability to inspect Engineering Mechanical Drawings to find the part and part numbers needed.

* Must possess strong multitasking ability and experience.

* Punctual, dependable, organized and enthusiastic.

* Ability to listen and desire to learn.

* Works well with a team but also able to work very independently.

* Excellent phone manner & skills.

* Ability to grasp and visualize mechanical parts and answer customer's questions on required parts.

* Technical inside sales experience is strongly preferred.
