Administrative Assist
- Answer phone, take and deliver messages
- Process mail and ship items as needed
- Scan/copy/file documents in accordance with company practices
- Write cover letters, transmittal letters and emails of correspondence
- Maintain executive's appointment schedule
- Book air travel, lodging, ground transportation and dining reservations
- Expense tracking and reimbursement requests
- Assist executive with transmittal of yearend financial reports to various parties with a security interest
- Plan, organize, setup of various specialty meetings/luncheons; cleanup
- Coordinate and create agenda for site tours, map most efficient route for tour
- Keep executive on time with important tasks and deadlines
- Word processing/dictation of proposals, letters of intent, RFP's, etc.
- Pickup and deliver items/documents as necessary
- Other administrative and clerical duties as necessary
- Protect operations by keeping information confidential
- Help executive restore work-life balance and free to focus on what is most important
- Always on and ready to assist at any time. This can include late nights, early mornings, weekends, and errands as requested.
- Maintain highly organized and confidential files
- Assist executive with minimal personal matters
- Assist tax manager with collection of tax work
- Personal finance bookkeeping including accounts payable and receivable and reconciliation of accounts
- Assist executive with homeowners and vehicle insurance matters
- Household management as needed
- Assist Front desk as needed
- Endeavor to perform any task asked of
