We are searching for a 6 month TEMP Human Resources Associate. This is a Monday through Friday position, in office 5 days a week. Will pay up to $40 per hour.
The Human Resource Associate provides a high level of support to the Human Resources Leadership Team, with the effective and efficient administration of the delivery of human resources services. This crucial HR role requires a customer-focused individual who can effectively interact with various stakeholders, both internal and external. Due to the sensitive nature of the information handled, discretion and confidentiality are essential.
ESSENTIAL RESPONSIBILITIES:
HR Administration
• Serves as a go-to Human Resource professional for day-to-day employee questions, as well as responds to employees in a timely and accurate manner ensuring complete follow-through.
• Acts as the first port of call to external partners with regards to a large volume and wide variety of Human Resource related inquiries, i.e., unemployment claims and employment verification requests.
• Compiles and maintains physical and digital files for faculty, staff, and students, along with required documentation.
• Helps to identify opportunities to create efficiencies and add value to the offerings of the Office of Human Resources and the institution.
• Assists in documenting Human Resources processes and provides recommendations to improve and streamline where necessary.
• Handles offboarding activity including exit interviews and employee communication.
Human Resource Information System (HRIS), Metrics and Reporting
• Manages the processing of the payroll.
• Acts as a liaison with Offices of Financial Aid and Payroll to ensure accurate and timely processing of the student payroll.
• Updates Human Resources reports monthly to provide accurate metrics for headcount and turnover statistics, benefit invoicing, etc.
• Creates ad hoc reports and manipulates data, as needed, in an accurate and concise manner.
• Assists with the preparation of IPEDS, CUPA surveys and other data driven reports.
• Helps to maintain optimal function of the HRIS, which may include installation, customization, development, maintenance, and upgrade to applications, systems, and modules.
• Proactively identifies methods and means to address reoccurring issues by collaborating with the Human Resource and Payroll departments to ensure appropriate resolution to issues.
Benefits Administration
• Answers -to-day questions regarding benefits plans; and escalate to other HR team members, as needed.
• Assists with leaves of absence tracking, including disability plan and FMLA coordination.
• Reconciles with benefit carrier invoices, medical, dental, vision, life, short- and long-term disability, etc. monthly.
• Assists with Open Enrollment communications, meetings and roll-out.
• Works with the Executive Director in managing the administration of the employee and employer contributions transmitted to TIAA each pay period.
Recruiting and Onboarding
• Assists with preparing job descriptions and job postings.
• Maintains the jobs email, aligns candidates with job folders, and creates respective spreadsheets, assists with correspondence to candidates.
• Schedules interviews with candidates, coordinate recruitment metrics.
• Assists in preparation of offer letters, agreements, and all other relevant new hire paperwork and coordinates onboarding activities to ensure a positive and welcoming employee experience.
• Coordinates logistics for new hires; works with the hiring manager to create the new hire link that alerts other departments to the needs of the new hire. Works closely with the hiring managers to ensure a memorable and efficient onboarding
• Assists with the obtaining and processing of required paperwork for all new hires including all community members: faculty, newly appointed and reappointed adjunct faculty, staff, and students.
• Coordinates new hire papers, I-9 compliance, and create HRIS profiles.
Project Work
• Participates in various projects in order to gain exposure to different areas within Human Resources to promote professional development.
• Is a key contributor to employee engagement activities such as the holiday party, recognition event, mid-summer extravaganza, etc.
• Partners with team members on projects to initiate process improvements and efficiencies
• Completes project work in a timely and accurate manner and provide clear communication on project status to project leader(s).
Other
• Maintains and updates organizational charts and staff directory.
• All other duties as assigned.
SKILLS, EXPERIENCE AND OTHER REQUIREMENTS:
• Minimum of three to five years' experience working in Human Resources, preferably in Higher Education. Bachelor's degree a plus.
• Strong interpersonal and communication skills and the ability to build effective relationships throughout the institution and to the outside community.
• Ability to work effectively with a wide range of constituencies in a diverse community.
• Excellent verbal, written communication and customer service skills, ability to execute tasks in a thorough, accurate and timely fashion while managing multiple priorities.
• Excellent judgement and proven ability to analyze issues quickly & take appropriate action under limited time constraints.
• Ability to perform research and prepare reports and summaries based on research data.
• Strong analytical skills, advanced computer skills, including data entry, data processing, human resources information software. Experience with Microsoft Office suite required.
• Broad knowledge and understanding of HR transactions and procedures to enable review of accuracy and completeness of documents submitted.
• Knowledge of employee recruitment and employment principles, procedures, standards, documentation, benefits, and human resource administration.
