Position Summary Clerks on the Private Client Services Team work closely with attorneys and other team members to provide exceptional service to clients in areas such as estate and gift planning, estate administration, family business governance and transition planning, family office services and dispute resolution matters. The ideal candidate will have an aptitude for client service and the ability to exercise sound judgment and extreme discretion with respect to confidential and sensitive information. Essential FunctionsClient Service

  • Exercise sound judgment and extreme discretion with respect to confidential and sensitive information in all assignments, communications, and information received
  • Upload multiple account statements and tax documents for clients at various financial institutions and accounting firms onto client sites
  • Communicate directly with clients re information needed and providing same
  • Organize client asset information, research asset values, and prepare related multiple-page spreadsheets
File and Document Management
  • Assemble and prepare documents for mailing
  • Prepare draft client correspondence and pleadings
  • Assist with organization of documents, including maintenance of electronic and paper files
  • Maintain multiple Firmex sites for clients with minimal supervision
  • Organize and assemble exhibits for estate and gift tax returns
  • Revise and reformat documents in Word and Excel
  • Open files and prepare draft client engagement letters
  • Close files
  • Assemble executed client document binders and draft accompanying correspondence
Other Administrative Support
  • Complete work requests as assigned by attorneys, paralegals and legal assistants
  • Arrange complex and detailed travel plans and itineraries for multiple attorneys
  • Transcribe voicemail messages and attorney dictation
  • Schedule meetings and coordinate reservations for conference rooms and lunches
  • Assist with compliance reports to state bar associations
  • Process expense reports and invoice disbursement requests
  • Photocopy, scan and fax
  • Assist with shredding large number of documents
  • Assist paralegals with maintenance and organization of corporate records
  • Open and sort incoming mail for multiple attorneys
Billing Time
  • Track and bill time on specific tasks as directed
  • Prepare billing analysis of invoices paid or pending invoices to breakdown types of fees
Minimum Qualifications
  • High School diploma or GED
  • Notary Public in the State of Washington (or prepare to obtain)
Preferred Qualifications
  • Experience working in the legal or professional services industry
Required Skills
  • Experience with Microsoft Office suite, especially Outlook, Word and Excel
  • Ability to learn to new software applications quickly
  • Strong oral and written communication skills, including the ability to be concise
  • Aptitude for on-the-job learning
  • Strong interpersonal skills, including the ability to remain focused and professional while working with demanding individuals
  • Ability to perform a variety of tasks under time pressure, often changing assignments on short notice
  • Attention to detail
  • Sound judgment and extreme discretion with respect to confidential and sensitive information
Hours / Schedule / Location:
  • 37.5 hours per week / Monday through Friday 8:30 AM - 5:00 PM / On-site in the Seattle office
  • This is a full-time, non-exempt position that requires regular and predictable attendance. Overtime may be required during periods of high demand.
  • Infrequent travel may be required for cross-office projects
  • This position reports directly to the Private Client Services Manager
  • This position will require on-site work.
Salary Range:
  • $45,000 to $53,000 annually
Other Compensation:
  • Other compensation may include bonuses, profits sharing, HSA employer contributions, prizes and gifts
